Executive Assistant to the Director

The Department of Criminal Justice Services is seeking a collaborative and innovative team player to serve as a full-time Executive Assistant to the Agency Director in Richmond, Virginia. This position provides executive level support to the agency Director and other senior executive staff. What you will do: This position provides day-to-day executive level support to the office of the DCJS Director. This includes supporting the agency Director, Chief Deputy and other senior executive staff as assigned. This position has frequent contact with agency managers and staff, senior level government officials, agency board members and the public. The position will manage calendars and schedules, appointments, speaking engagements, meetings, travel arrangements and reimbursements, manage the approval of agency reports, compose correspondence, participate in special projects, and ensure the effective functioning of the office. The position will also screen and greet visitors and answer telephone and email inquiries, communicate policy and have access to sensitive and confidential information. This position serves as the Secretary to the Criminal Justice Services Board (CJSB) and coordinates Board meeting logistics and agenda's, minutes and various other requirements related to a public meeting in state government. This is a sensitive confidential position that requires sound judgement and discretion in the handling of privileged and sensitive information. Minimum Qualifications Significant and extensive experience providing executive level support to the director of an agency or organization, preferably in the government sector. Demonstrated ability to handle confidential information appropriately. Extensive experience preparing correspondence, memoranda, and reports using appropriate grammar and syntax, layout and design, and proofreading skills. Considerable demonstrated experience in managing executive level calendars and travel. Considerable demonstrated experience managing and responding to constituent inquiries. Extensive demonstrated experience in establishing effective working relationships with agency leadership, staff, executive branch officials, legislators, and the public. Extensive experience taking and transcribing minutes. Demonstrated ability to interpret and use administrative policies to carry out responsibilities. Ability to think strategically and cross culturally and independently implement new initiatives and projects. Demonstrated excellent oral and written communication skills, ability to communicate clearly and concisely with all levels of staff and management. Documented experience working as an active, contributing team member, as well as an independent and self-motivated employee. Demonstrated ability to meet critical deadlines, handle multiple assignments, changing priorities, and ensure timeliness and quality of completed assignments. Demonstrated proficiency in utilizing the Microsoft Office suite and other similar software to carry out job responsibilities. Additional Considerations Knowledge of and experience in the criminal justice system in Virginia. In addition, the selected candidate who begins original employment or re-employment in this position must serve a 12-month probationary period effective from the date of employment. The starting salary range is $64,000 to $75,000 plus the state's benefits package.
