The Mesa Marketing Team is seeking a Marketing Coordinator that is experienced, detail-oriented, proactive, and energetic team-focused with a minimum of five years of hands-on experience in coordinating large-scale industry conferences and corporate events. The ideal candidate will have a proven track record in the professional services or engineering sectors and will excel in a fast-paced, deadline-driven environment.
This position shall, at minimum:
Execute registration for conferences/events
Assist with conference sponsorship execution
Manage library of conference material, equipment, and supplies
Execute conference and client events preparation. Maintain a comprehensive conference and events calendar and checklist. Coordinate all related logistics such as hotel reservations, packing all materials and supplies, supply ordering, and shipping.
Manage client and contact information within the CRM, and support performance reporting and market analysis. Maintain of conference and corporate events data in CRM
Coordination of industry and corporate events
Complete conference wrap-up by receiving, unpacking and updating of inventory for all returned conference materials/equipment, as well expense reconciliation in timely manner
Travel as needed to support the Director of Marketing with projects/events/conferences
Responsibility will increase as experience and knowledge of marketing department fundamentals grow and Mesa Family of Companies knowledge grows
Give input to market analysis (ROI) from conference feedback
Identify and manage promotional items inventory
Research industry best practices
Administrative responsibilities
The position will also assist the Digital Asset Specialist in designing, monitoring, and updating Mesa’s digital assets that will be utilized by associates both internally and externally. This position will assist in maintaining the integrity and standardization of company branding which requires creativity and an eye for detail, as well as excellent interpersonal and communication skills. This position will serve as back-up to the Digit Asset Specialist.
Education and Experience
Bachelor’s degree in Marketing, Communications, Event Management, or a related field or equivalent combination of education and directly relevant professional experience
Minimum of 5+ years of progressive, hands-on experience coordinating and executing industry conferences, trade shows, and corporate events from planning through on-site execution and post-event reconciliation
Prior experience within an AEC, professional services, or similarly complex, client-facing environment is strongly preferred
Skills
Proficient in MS Office Suite (Word, Excel, PowerPoint)
Experience with Adobe Creative Suite (In-Design, Illustrator and Photoshop a plus)
Strong writing and proofreading skills, oral presentations, strong organizational and time management
High attention to detail
Collaborative mindset and ability to work with marketing and technical professionals
Experience in CRM systems and email marketing platforms
Critical thinker with strong problem-solving and research proficiencies
Proven ability to handle complex event logistics and deliver high-impact results
Ability to comprehend and interpret competitor strategies and consumer behavior
Strong organization skills, attention to detail, and the ability to work effectively under pressure
Ability to gather large amounts of data and convert it into meaningful data
Excellent interpersonal skills for representing organizations in public during media events and while participating at conferences
Ability to interface with corporate senior leadership
