The
Associate Director, Travel and Fleet Services
is responsible for leading the company's strategic travel and fleet programs across the United States, Mexico, and Canada. This role oversees policy development, vendor management, program administration, and daily operations to ensure cost-effective, compliant, and high-quality services for employees.
The Associate Director serves as a subject matter expert and trusted partner to internal stakeholders, driving operational excellence, regulatory compliance, and continuous improvement across all travel- and vehicle-related programs.
This role requires strong executive presence and the ability to confidently engage with senior leaders. The ideal candidate can communicate complex ideas clearly, challenge assumptions when needed, and influence decision-making at the executive level while maintaining professionalism and credibility.
Responsibilities
Program Leadership and Oversight Develop, implement, and maintain travel, expense, fleet, assigned vehicle, inpat vehicle, and payment card policies that enhance customer service, support SG&A savings, and ensure regulatory compliance. Provide strategic oversight and operational leadership for all department programs and daily activities. Manage policy exceptions and identify opportunities for cost savings, process improvements, and enhanced employee experience. Lead cross-functional collaboration with tax, insurance, audit, compliance, treasury, security, and procurement teams. Customer Service and Stakeholder Partnership
Oversee delivery of high-quality day-to-day support for 3,000 travelers and 800 drivers. Act as a consultant and advisor to executives, internal customers, and functional partners regarding program processes, spend, and savings opportunities. Coordinate employee communications, change management initiatives, and executive upgrade programs. Vendor Management and Sourcing
Lead new vendor RFPs, contract negotiations, vendor selection, and implementations. Manage relationships and performance for over 20 preferred vendors, including travel agencies, airlines, hotels, rental car companies, fleet suppliers, OEMs, payment card providers, charter aircraft, ground transportation, and visa/passport services. Track market share commitments, validate rebates, and ensure service-level agreements are met. Travel Program Responsibilities
Oversee corporate travel programs supporting over 20,000 annual reservations and $25M in yearly spend. Ensure compliance with internal policies and external regulations. Develop, administer, and optimize Concur Travel systems. Lead Corporate Travel and Procurement Card Programs, including global card implementations, reporting, online card technology, and expansion of new card use cases to maximize rebates. Serve as category expert for travel and payment solutions. Fleet Program Responsibilities
Provide governance and oversight for fleet operations, including approximately 250 vehicles in the U.S. and 245 vehicles in Mexico. Annually recommend and select vehicle models based on business needs, cost, and market conditions. Place orders for new vehicles and consult with locations regarding pool vehicle requirements. Manage vehicle remarketing, accident reporting, inventory control, maintenance tracking, lease accounting, and imputed income reporting. Ensure regulatory and policy compliance across all fleet activities. Serve as category expert for fleet operations. Inpat Vehicle and Family Lease Programs
Oversee the Inpat Vehicle Program (130 vehicles in the U.S.), including vendor coordination, vehicle selection, ordering, and lifecycle management. Manage accident reporting, maintenance tracking, lease accounting, and imputed income reporting. Administer family vehicle leases paid by employees, including payroll deduction processing. Maintain separate policies and procedures specific to these programs. Assigned Vehicle Program (VWGoA)
Oversee the VWGoA Assigned Vehicle Program, managing approximately 175 vehicles in the U.S. Act as liaison between international employees and VWGoA for vehicle orders and program support. Manage lease accounting, imputed income tracking, invoice reconciliation, and payment processing. Facilitate payroll deductions related to insurance deductibles, moving violations, and other vehicle-related expenses. Support planning and readiness for future employee vehicle programs, including lease and discount offerings. Minimum Requirements
Bachelor's degree and at least 9 years of project/program management or administrative experience At least 5 years of management experience OR
