Assistant Director of Facilities Facilities

The Assistant Director of Facilities provides operational leadership for the College's facilities organization, supporting the Director of Facilities in the planning, coordination, and oversight of campus facilities operations, construction projects, and maintenance programs. This position oversees assigned facilities departments, manages renovation and construction projects, administers operating budgets, and leads regulatory compliance and safety efforts. The Assistant Director serves as a key campus and external partner, ensuring facilities services, infrastructure, and projects are delivered safely, efficiently, and in alignment with the College's mission and strategic goals.

Employment Type: Full-time (1.0 FTE), Exempt (Salaried), Benefits- Eligible

Salary Range: $65,000-$85,000 annually

Responsibilities

Provide day-to-day leadership and oversight of assigned Facilities operations and staff, which includes building trades (carpentry, electrical, plumbing, painting, and heating plant).

Partner with the Director of Facilities to assist operational leaders and provide support for staffing, training, performance management, and service delivery.

Plan, manage, and implement small and medium construction and renovation projects, and support the Director of Facilities on large renovation and capital projects, including planning, design, bidding, and construction phases to ensure projects are delivered on time and within budget.

Lead project development including scope definition, cost estimating, scheduling, procurement, construction coordination, and project close-out.

Attend planning meetings and lead on-campus coordination during construction phasing and implementation, communicating regularly with affected departments.

Coordinate and schedule work with architects, engineers, contractors, and vendors.

Obtain Requests for Proposals (RFPs), support bid reviews, and assist with contractor and consultant selection.

Monitor work quality of Facilities personnel and outside contractors.

Administer and monitor preventive maintenance programs and deferred maintenance priorities to support long-term stewardship of campus facilities.

Support maintenance of furniture inventories, asset records, and as-built drawings.

Oversee operating budgets for the areas of responsibilities, including approval of purchase orders and ongoing monitoring of expenditures.

Assist the Director of Facilities in the development and management of the Facilities operating budget, including forecasting, expense tracking, and ensuring fiscal responsibility, internal controls, and compliance with College policies.

Prepare budget assessments, forecasting updates, and project cost reports, and lead regular budget review meetings with the Director of Facilities.

Coordinate Facilities planning and operational support for major campus events, including Commencement and the Nobel Conference.

Ensure Facilities operations comply with applicable federal, state, and local regulations, building codes, and safety standards.

Serve as the primary Facilities liaison to the Director of Risk Management and support departmental safety programs, inspections, training, and regulatory documentation.

Collaborate with Facilities leadership and the Sustainability Program Manager to support and monitor energy conservation and sustainability initiatives on campus.

Serve as a key member of the Facilities emergency response team and maintain on-call availability for facility-related emergencies.

Utilize and support Facilities management systems including CMMS, building automation systems, asset inventories, project documentation, and as-built drawings.

Interact with the campus community in a friendly, professional, and cooperative manner that supports a positive institutional culture.

Attend professional development, OSHA, safety, and regulatory training as required.

Maintain a safe, organized, and compliant work environment in accordance with College and OSHA policies.

Assist with snow removal and other emergency response functions as necessary.

Perform other duties as assigned.

Minimum Qualifications

High School Diploma; Bachelor's Degree preferred ( construction management, engineering, architecture, facilities management, or related field)

Minimum of three years of progressive experience in facilities management, construction management, project management, or skilled trades supervision

Demonstrated experience managing facilities projects, budgets, and staff.

Strong working knowledge of building systems, construction practices, preventive maintenance, and regulatory compliance.

Excellent written and verbal communication skills with a strong customer service orientation.

Demonstrated ability to manage multiple priorities, budgets, schedules, and operational programs.

Proficiency with computer systems and software appropriate to facilities and project management.

Working Environment & Expectations

Must be available for emergency repairs.

Overtime is necessary at various times of the year.

Exposure to outside weather conditions year-round.

Works with potentially hazardous chemicals and equipment.

Works on ladders, scaffolds and roofs.

Lifting up to 75lbs, bending, twisting and kneeling.

Required to enter private areas such as student rooms and bathrooms.
