Overview
The Marketing Coordinator (Content & Proposals) at Toth and Associates, Inc. will focus on high-quality content development and proposal support
for an engineering consulting environment. This role is responsible for writing, editing, and organizing marketing and proposal content that clearly communicates complex technical services to clients and stakeholders.
The ideal candidate has 3-7 years of experience in content creation
and proposal development, preferably within the architecture, engineering, construction (A/E/C) industry
or a similar professional/technical services field. This position works closely with the Director of Marketing, other Marketing Coordinators, project managers, and technical staff to develop consistent, compelling narratives across proposals, project profiles, reports, and other marketing materials.
Duties and Responsibilities
Research, write, and edit clear, concise, and compelling content for:
Proposals and statements of qualifications (SOQs)
Project profiles and case studies
Service descriptions and market/sector narratives
Reports, white papers, and other client-facing documents
Translate technical input from engineers and project managers into accessible, client-focused language while maintaining accuracy.
Maintain and continually improve a central content library , including standard narratives, project descriptions, resumes, and boilerplate materials for reuse across submittals and marketing channels.
Proposal Development & Coordination
Support the full proposal lifecycle—pre-RFP positioning, go/no-go input, content development, editing, and final review—for a variety of engineering and consulting pursuits.
Work with internal stakeholders to collect information, develop win themes, and tailor content to specific RFP requirements and client goals.
Coordinate with other Marketing Coordinators on layout, graphics, schedule, and production to deliver polished, compliant submittals on time.
Assist with assembling, proofreading, and final quality checks for proposals, SOQs, and related materials.
Assist in the concepts and development of marketing collateral (service flyers, capability statements, brochures, presentations) with a strong emphasis on messaging and narrative clarity.
Collaborate with the broader marketing team on campaigns and initiatives by developing content for email, social media, digital ads, and conference materials.
Organize and streamline complex service and project information into user-friendly formats such as one-pagers, summaries, and visual aids (with support from design-focused team members).
Digital & Communication Channels
Contribute content for social media, newsletters, blogs, and other communication platforms, ensuring a consistent brand voice.
Assist with maintaining website content, including project write-ups, news posts, and service pages, in coordination with the marketing team.
Support internal communication efforts, such as staff announcements, internal newsletters, and culture-related content, as needed.
Partner closely with the Director of Marketing and Marketing Coordinators to align content and proposals with overall marketing and business development strategies.
Work with technical staff and subject matter experts to gather information, verify technical accuracy, and shape messaging.
Assist with tracking and reporting on marketing and proposal activities, including maintaining CRM records and content usage where applicable.
Maintain strict confidentiality of sensitive information.
Qualifications
3-7 years of professional experience
in marketing content creation, communications, technical writing, or related roles.
Demonstrated experience in proposal development
(RFP/RFQ responses, SOQs) for professional services;
A/E/C industry experience strongly preferred ; experience in engineering, architecture, construction, or similar technical/professional fields is highly valued.
Bachelor’s degree in
Marketing, Communications, Journalism, English, Technical Writing, or a related field
(or equivalent combination of education and experience).
Exceptional
writing, editing, and proofreading skills , with the ability to adapt tone and depth for different audiences (technical, executive, community, etc.).
Proven ability to translate complex technical information into clear, client-focused language.
Strong organizational skills with experience managing multiple deadlines, documents, and stakeholders in a fast-paced, deadline-driven environment.
Familiarity with
proposal workflows
and compliance processes (following RFP instructions, forms, submittal requirements).
A firm grasp of marketing platforms and best practices, including social, digital, and email marketing, and how content supports these channels.
Proficiency in
Microsoft Office Suite
(Word, PowerPoint, Excel) is required; experience with
Adobe Creative Suite
(InDesign, Illustrator, Photoshop) is a plus, especially for collaborating on layout and basic content placement.
Strong interpersonal and communication skills, with the ability to work effectively with both marketing peers and technical staff.
Self-starter with the ability to independently move projects forward, prioritize tasks, and meet strict deadlines.
