Overview Marketing Project Coordinator supports the execution of marketing initiatives by ensuring projects move smoothly through established workflows. Reporting to the Senior Marketing Project Manager, this role focuses on task coordination, project hygiene, documentation, and communication to enable on-time delivery across campaigns, content, events, and digital initiatives. The Project Coordinator plays a critical support role in maintaining visibility, accuracy, and consistency across marketing projects.

Responsibilities

Support marketing projects from kickoff through completion by coordinating tasks, timelines, and deliverables within Asana or similar tools

Coordinate execution of the product go-live process by managing task checklists, timelines, and dependencies across cross-functional teams

Facilitate go-live status updates and readiness reviews to ensure visibility and accountability across stakeholders

Maintain accurate project plans, task assignments, dependencies, and due dates to ensure project visibility and accountability

Track task progress and follow up with team members to ensure deliverables stay on schedule

Prepare agendas, capture notes, and document action items for project meetings and status reviews

Assist in maintaining campaign and project calendars to ensure deadlines and milestones are clearly communicated

Update project documentation, creative briefs, and asset records to ensure strong project hygiene

Support workload tracking by updating task status and flagging potential capacity issues to the Senior Marketing Project Manager

Assist with vendor coordination, file management, and basic workload tracking

Compile and distribute project status updates and reports under the direction of the Senior Marketing Project Manager

Ensure adherence to established workflows, templates, and project standards across marketing teams

Qualifications

1–3 years of experience in project coordination, marketing support, or administrative roles

Experience working with project management or task-tracking tools (Asana, Wrike, Monday, etc.) preferred

Strong organizational skills with exceptional attention to detail

A bility to work effectively in a deadline-driven work environment, where multitasking while maintaining quality is critical .

Clear written and verbal communication skills

Ability to manage multiple tasks in a deadline-driven environment

Proactive, reliable, and comfortable interacting with senior team members

Familiarity with entertainment lighting or Audio-Visual products and marketplace preferred .

Physical Demands While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Working Conditions Work is performed primarily in a standard office environment but may involve exposure to moderate noise levels from printers and other peripherals.
