Responsibilities
Program & Policy:
Develop, maintain, and continuously improve mobility and immigration policies (domestic & international), SOPs, FAQs, and templates; manage version control and change communications.
Partner with
ICB (Compensation)
on global assignee
terms & conditions;
contribute to global projects and provide market feedback from the NASA region.
Coordinate (or support) the
expat salary review process
and related allowance/benefit updates; ensure accuracy and timely approvals.
Own the process for
business/support travel letters
(employment verification, invitation, border letters); drive opportunities for
automation
(document generation/workflows) with HR Ops/IT.
Vendor Strategy & Management:
Lead/participate in
RFPs , vendor
selection , onboarding, and
performance management
for relocation, immigration, tax, and related services.
Manage day‑to‑day
vendor relationships
(e.g., ARC Relocation, Fragomen, KPMG), SLAs, issue resolution, and continuous improvement.
Management of the
Sixt car leasing
program.
Case & Assignment Management:
Run end‑to‑end domestic and international case management: intake, eligibility, costings, approvals, package setup, vendor initiation, and employee guidance.
Oversee immigration filings with counsel (e.g., H-1B/L-1/TN/O-1, work permits, PR pathways); ensure work authorization aligns with start dates.
Coordinate relocation logistics (HHG, temporary housing, travel), onboarding (I-9/SSN for US inbound), and ongoing support; manage extensions, amendments, and repatriations.
Monitor compliance (tax, immigration, labor, data privacy) and ensure accurate HRIS/Payroll updates.
Stakeholder Engagement & Reporting:
Advise managers, HRBPs, and Talent Acquisition on policy application, timelines, risks, and employee experience.
Qualifications
Required:
Experience in a multinational or matrixed organization managing mobility/immigration complexity (domestic and international scope).
5+ years in Global Mobility/Immigration or closely related function with demonstrated ownership of end-to-end cases and vendor management.
Hands-on experience with vendor RFPs, selection, contracting, and ongoing relationship management.
Strong knowledge of expatriate assignment frameworks (expat, local-plus, STIA), immigration categories, and compliance requirements.
Ability to interpret and administer policy, partner with Compensation/ICB, and coordinate salary/allowance reviews for global assignees.
Data fluency: case tracking, metrics, reconciliation with HRIS/Payroll; strong written communication and stakeholder management.
Preferred:
HR Operations background with exposure to expats/global mobility and a strong learning mindset; ability to ramp quickly on complex programs.
Experience coordinating support/business travel documentation and process automation (document generation workflows, ticketing).
Familiarity with relocation/tax providers (ARC, KPMG) and immigration counsel processes (Fragomen or equivalent).
Reporting
Reports to: Regional Center of Excellence, HR (Mobility/Immigration) or as designated.
