
Executive Personal Assistant

Overview
We are seeking a highly organized, proactive, and energetic Personal Assistant to support a dynamic professional who wears multiple hats as a life coach, Zumba instructor, and Managing Attorney. This role is ideal for someone who thrives in a fast-paced environment, enjoys variety, and is comfortable balancing professional, creative, and personal support tasks. This is a position that requires flexibility and some weekend and afternoon work.
Responsibilities
General executive support
— Help prepare meetings and take detailed minutes; report incoming information like phone calls, messages, memos, and emails to an executive; execute other tasks as assigned by executives (e.g., picking up orders, arranging personal appointments). Act as the main point of contact for the high-level executive; order office supplies; organize and monitor the Managing Attorney's emails; handle some social media posts.
Calendar & Scheduling Management
— Maintain and coordinate multiple calendars (professional, fitness, legal, and personal); schedule meetings, classes, court-related commitments, events, and travel; send reminders and manage time-sensitive deadlines.
Driving & Transportation
— Provide reliable transportation to meetings, classes, events, and appointments; assist with errands and logistics as needed.
Travel Coordination
— Arrange and manage travel (flights, hotels, itineraries, packing coordination); accompany on trips when required to provide on-site support.
Social Media & Brand Building
— Assist with planning and executing social media campaigns; help build and maintain a strong social media presence across platforms; coordinate content posting, engagement, and basic analytics tracking; support branding efforts for coaching, fitness, and professional services.
Administrative & Personal Support
— Handle emails, phone calls, and correspondence; assist with event planning, workshops, and fitness classes; anticipate needs and proactively solve problems; maintain confidentiality and professionalism at all times.
Qualifications
Experience handling confidential information and adhering to strict deadlines
Must have graduated high school or received an equivalent certificate of completion
Experience using Microsoft Office
Excellent communication skills, time management skills, interpersonal skills, and organizational skills
2+ years performing supportive duties in a personal assistant or executive assistant role, or similar
Proven experience as a personal assistant, executive assistant, or similar role
Strong organizational and time-management skills
Comfortable multitasking and switching between roles and priorities
Social media savvy (Instagram, Facebook, TikTok, LinkedIn preferred)
Valid driver’s license and clean driving record
Willingness to travel and work flexible hours (including occasional evenings/weekends)
Discretion and professionalism, especially around legal matters
Compensation $20 - $22 yearly
