Overview Marketing Assistant at a Full-Service Advertising Agency

The Marketing Assistant supports the agency owners in coordinating client marketing initiatives, managing design and advertising projects, assisting with reporting and budgeting, and ensuring timely communication across clients, vendors, and internal teams. This role requires strong organizational skills, attention to detail, creativity, and the ability to thrive in a fast-paced agency environment.

Main Responsibilities

Assist agency owners with day-to-day coordination and management of client accounts, marketing budgets, design projects, and reporting

Manage multiple projects at once, ensuring timelines and deliverables stay on track

Communicate quickly and professionally via email and phone with clients, media representatives, vendors, and internal team members

Assist in developing, organizing, and presenting reports based on collected marketing data

Proofread, write, and edit content and marketing copy as needed

Maintain accurate file organization, data tracking, and detailed records across all accounts

Assist with invoice reconciliation and documentation

Support ordering and coordination of print materials

Occasional overnight travel for client meetings (with agency owners) is required

Occasional overtime may be required based on project deadlines and client needs

Required Knowledge and Abilities

Proficiency in Asana (task and project management)

Strong typing skills and high attention to detail

Prior marketing experience preferred

Strong computer proficiency and comfort learning new tools quickly

Advanced experience with:

Microsoft Word, Excel, PowerPoint, Access

Email platforms and search engines

Google Drive / Google Workspace

Proficiency in Adobe Creative Suite (current versions); experience with other design, video, web, and multimedia software is a plus

Front-end development familiarity (HTML/CSS) is a plus

Excellent written and verbal communication skills

Strong English grammar and proofreading skills; ability to suggest edits and write copy when needed

Ability to prioritize, multitask, and work efficiently under deadlines

Professional, positive attitude and ability to work well with others

Strong time management and reliability

Ability to handle sensitive and confidential information professionally

30 Days: Comfortable managing Asana tasks, client communication, file organization, and assisting with reporting and proposals.

60 Days: Independently managing project timelines, coordinating with vendors/media reps, and producing draft reports/proposals with minimal edits needed.

90 Days: Confidently running day-to-day project coordination, improving systems/organization, and proactively identifying client/project needs.
