Department Summary UCLA Extension (UNEX) is a leading provider of continuing and professional education, serving more than 50,000 students annually with approximately 4,500 classes and certificate programs. Position Summary Under the direct supervision of the Financial Aid Manager, the Financial Aid Advisor counsels students and parents on all aspects of financial aid, including the application and delivery system, federal/state/university programs, the Federal Direct Loan Program, Veterans Affairs benefits, and other aid/Workforce Innovation and Opportunity Act (WIOA) contracts. The role involves processing student financial aid, maintaining files, awarding aid, advising students, and ensuring regulatory compliance. Additional responsibilities include serving as the Veterans Affairs Coordinator, managing special programs (Dentistry, WIOA contracts, UCLA Global Online), utilizing various student service systems, and assisting the Financial Aid Manager with reports and scholarship administration. They will also screen and answer questions via phone and email in a timely manner.
Salary & Compensation UCLA provides a full pay range. Actual salary offers consider factors such as budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Salary offers at the top of the range are not common. Qualifications
2 - 3 years minimum of progressively responsible, related professional experience in financial aid, preferably in a postsecondary or closely related setting (Required)
Strict compliance with FERPA laws; strict compliance with Federal, State, and University policies and regulations governing Financial Aid, Workforce Investment Board, and Veterans Benefits (Required)
Strict compliance with UC, UCLA, and UNEX policies governing enrollment, academic records, academic integrity, and financial aid; ability to read policies and procedures in Standard English and interpret information clearly for students and internal/external customers (Required)
Ability to honor confidentiality and handle confidential/sensitive matters with discretion and tact (Required)
Mathematical skills sufficient to perform basic calculations, ratios, rates, percentages, and other financial operations with speed and accuracy (Required)
Working knowledge of Financial Aid Management System (FAM) or similar systems (Preferred)
Demonstrated expertise in using UNEX systems for service to students (e.g., Student Information System, Virtual Contact Center, live chat, queue-management); ability to understand basic work (Required)
Ability to respond to customer needs in a supportive and professional manner, with promptness and a solutions focus; ability to maintain calm and professional demeanor in difficult situations (Required)
Adherence to established work schedules; reliability and preparedness for meetings; follow-through on promises (Required)
Ability to foster strong, collaborative relationships with other Student Services units, UNEX academic/admin offices, and campus partners (Required)
Ability to take initiative in resolving communication problems calmly, respectfully, and professionally; demonstrated ability to advise, facilitate, problem-solve, and work under time pressures in a fast-paced environment (Required)
Exceptional professional judgment when working with a student population that may require sensitive support; demonstrated experience in financial aid in a post-secondary setting (Required)
Excellent interpersonal, written, and verbal communication skills for effective interactions with diverse groups; ability to balance institutional and student responsibilities; keen judgment on when issues should be escalated (Required)
Education, Licenses, Certifications & Personal Affiliations
Bachelor's Degree in related area and/or equivalent experience/training (Required)
Master's Degree in higher education/student affairs or related area (Preferred)
