
A well-established law firm with a dedicated intellectual property practice is seeking a detail-oriented Intellectual Property Legal Assistant to support a small team of attorneys. Key Responsibilities:
Prepare, revise, and organize correspondence and legal documents Support billing processes, including time entry, invoice review, and distribution Provide day‑to‑day administrative support to the IP practice group Open and maintain client and matter files in practice management and docketing systems Prepare and archive engagement letters Scan, distribute, and electronically file incoming correspondence Manage email and documents within the firm’s DMS-Assist with preparing and filing IP documents (applications, IDS, declarations, POAs, assignments, issue fees, reporting letters) Support USPTO electronic filings-Generate and distribute docket reports, deadlines, and status updates Assist with administrative financial tasks (wire/check requests, expense reports, invoice coordination) Qualifications:
Associate degree, high school diploma, GED, or relevant industry certification Strong organizational skills with the ability to manage multiple priorities and deadlines Exceptional attention to detail, particularly in document preparation and filing accuracy Clear and professional written and verbal communication skills Familiarity with legal terminology, document workflows, and administrative procedures (prior IP or law firm experience preferred) Proficiency with Microsoft Office and legal technology tools, including document management systems, e-filing platforms, and practice management software High level of professionalism and discretion when handling confidential information Proactive mindset with the ability to anticipate needs and solve problems independently Position Highlights:
