
Overview
Job Summary: Sales Administrator (Sales Ops/Admin) provides high-level administrative, organizational, and operational support to the Sales Leadership Team, including the National Sales Manager and President. This role serves as a
central point of coordination , ensuring executive priorities are organized, meetings and sales related projects are effective, and follow-through is consistent.
The ideal candidate is
highly organized, proactive, discreet, and dependable , with the ability to manage competing priorities while maintaining professionalism and attention to detail. This individual acts as a trusted partner to leadership and a key support resource across the organization.
Responsibilities
Sales (Revenue Generation) Project management and administrative support .Example:Corporate account expansion, forecast, launch, and other critical sales related recurring calls (internal).
Organizing and creating sales-related reports and presentations .Examples:Assisting in the creation and organizing presentations for Performance Review calls , BOD meeting sales decks, external presentations to partners etc.
Manage and coordinate calendars
for the supported team, including scheduling internal and external meetings and sending timely meeting reminders
Attend executive meetings to
capture accurate notes, decisions, and action items , and distribute clear post-meeting recaps and scheduling follow ups.Assist in driving accountability with the teams.
Track action items and follow-ups
to ensure accountability and timely completion
As needed, prepare boardroom and conference rooms for meetings, including room setup, materials, PowerPoint presentations, technology readiness, and on-site logistics such as catering etc.
Provide day-to-day administrative and “catch-all” support
to supported team, including ad hoc requests and time-sensitive priorities
Maintain organized records
of leadership documentation, meeting notes, and agendas
Identify opportunities to improve meeting effectiveness, administrative workflows, and communication processes
Handle sensitive and confidential information
with discretion and professionalism
Own, manage, and execute special projects
and priorities assigned by Executive Leadership, including planning, documentation, coordination, and hands-on completion of deliverables
Coordinate and support executive-led meetings, events, and on-site gatherings
by managing logistics, scheduling, materials, vendor contractors, and day-of execution.
Qualifications
Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership and/or Sales teams.
Organizing onsite and external sales meetings with full oversight of all details and coordination points.
Experience supporting C-suite executives (CEO, President, COO, or equivalent)
Experience preparing meeting agendas, taking minutes, tracking action items, building tracking tools and managing deadlines with a large remote team.
Comfort coordinating meetings with internal teams, external partners, and board members
Ability to anticipate needs and work independently with minimal direction
Strong understanding and ability to create sales and business presentations using PowerPoint, Excel and other standard formats.
Exceptional organizational and time-management skills
Strong written and verbal communication skills
Ability to manage multiple priorities in a fast-paced environment
High level of professionalism, discretion, and trustworthiness
Strong attention to detail and follow-through
Proficiency in Microsoft Office (Outlook, Word, Excel, PPT) and/or Google Workspace
