POSITION SUMMARY The Marketing and Communications Coordinator supports the planning and execution of all marketing, communications, and branding efforts for HMH. This role plays a key part in promoting programs, exhibitions, and institutional initiatives across digital, print, and media channels while ensuring brand consistency and operational efficiency. The Marketing and Communications Coordinator works closely with the Director of Marketing & Communications, Development team, and external vendors to deliver high-quality,timelycommunications. ESSENTIAL DUTIES & RESPONSIBILITIES Manage and regularly update the HMH website, ensuring accuracy, accessibility, and brand alignment Process and track department invoices andassistwith budget-related documentation Produce and distribute email and direct mail campaigns promoting HMH programs, exhibitions, and initiatives Assistin the production of print publications, including the Museum Visitor Guide, annual member magazine, and gratitude report Support the Directorof Marketing & Communications withthe production of promotional and directional signage Plan and execute multimedia advertising campaigns, including overseeing budgets, vendor contracts, timelines, and creative development Assist the Directorof Marketing & Communicationsin drafting and distributing press releases; manage media inquiries, press distribution lists, andmonitormedia coverage Support the Development team with donor communications related to signature events, membership programs, and the annual fund Maintain sponsor recognition across all platformsin accordance withpartnership agreements Assist the Directorof Marketing & Communicationswith executive communications for the CEO and Board Chair Compile and distribute monthly analytics reports covering media coverage, website performance, and social media metrics for staff and board review Manage relationships with external vendors, including graphic designers, SEO consultants, printers, and media production teams Ensure consistent brand standards across all public-facing materials and communication channels REQUIREDQUALIFICATIONS & EXPERIENCE 2–4 years of professional experience in marketing, communications, public relations, or a related field Demonstrated experience supporting integrated marketing or communications initiatives across digital, print, and media channels Experience coordinating projects, timelines, vendors, and administrative or operational processes Strong writing and editing skills, with experience drafting or supporting external communications such as email campaigns, press materials, or promotional content PREFERREDQUALIFICATIONS & EXPERIENCE Experience working in a PR agency, marketing firm, nonprofit, cultural institution, or similarly fast-paced, deadline-driven environment Familiarity with media relations, press outreach, and media monitoring Experience supporting marketing operations, including budget tracking, invoicing, and vendor coordination Bachelor’s degree in Marketing, Communications, Public Relations, or a related field, or equivalent professional experience REQUIRED SKILLS & COMPETENCIES Marketing & Communications Execution:Ability to support and execute multi-channel marketing and communications efforts with accuracy, consistency, and attention to detail Project & Operations Management:Strong organizational skills with the ability to manage multiple projects simultaneously, track deadlines, and support budgets, invoices, and vendor relationships Writing & Editing:Clear, concise written communication skills, with the ability to adapt tone and messaging for different audiences and platforms Collaboration & Relationship-Building:Proven ability to work effectively with internal teams, leadership, and external partners in a collaborative, service-oriented manner Judgment & Professionalism:Sound judgment when handling sensitive information, media inquiries, and executive communications Technical & Digital Skills:Comfort working with content management systems, email marketing platforms, analytics tools, and standard office software Adaptability & Initiative:Ability to work in a dynamic environment, adjust priorities as needed, and proactivelyidentifyopportunities for improvement PHYSICAL REQUIREMENTS This position requires prolonged periods of working on a computer, occasional movement throughout office spaces, and handling documents or equipment weighing up to 20 pounds.
