Harvard University Housing & Real Estate
Harvard University Housing & Real Estate (HUHRE) is a department within Harvard Campus Services, a multi-department organization within Harvard’s Central Administration. HUHRE supports the University’s educational and research efforts by offering Harvard affiliates housing and real estate services in University-owned properties which are conveniently located, competitively priced, and professionally managed. HUHRE serves as the asset manager for Harvard’s portfolio of commercial spaces and centrally stewarded institutional assets, overseeing leasing and operations of University-owned institutional space for Harvard affiliates and commercial spaces for rent by private retail tenants within the Cambridge and Greater Boston area.
Leasing, managing, and renewing Harvard-owned housing as well as Harvard offices/institutional spaces, and commercial real estate portfolios.
Leading community engagement and programming opportunities.
Managing relationships with external partners and vendors.
Working within the larger University community to develop and coordinate University-wide policies and strategies.
Supporting new University housing and real estate development projects across the Cambridge and Greater Boston area.

Job Description Harvard Real Estate (HRE) is a department within HUHRE. The Property Manager (PM) reports directly to the Assistant Director of Operations (ADO) and works as part of a property management team within the HRE Operations Group. The HRE Operations Group consists of three property management teams responsible for a diverse portfolio of buildings totaling 3.3 million square feet located in Allston and Cambridge, MA. As an HRE Property Manager, the primary responsibilities include day-to-day operations, tenant services, project management and financial support within the assigned portfolio.
Essential tasks of the PM include overseeing core aspects of property management, managing select vendor service providers, and providing exceptional service, supervision of staff, direction, and guidance to staff for tenant communications and lease administration in a fast-paced property management organization.
Job-Specific Responsibilities
Provides day-to-day supervision and direction to the Assistant Property Manager (APM), HRE Property Administrator (PA), Property Operation Assistants (POA) or contracted maintenance vendor in addressing tenant needs and properties.
Direct the APM, PA, and POAs in providing preventative maintenance and utilize software to manage related maintenance projects and vendor assignments.
Serve as Project Manager for operating projects (budgets under $300K) and tenant renovation projects.
Monitor staff performance, including coaching and mentoring, conducting counseling and discipline meetings, and managing 90-day and annual staff performance appraisals.
Perform payroll duties, including managing requested time off.
Oversee schedules, ensuring work exceptions are reflected in schedules.
Participate in interviewing for APMs, PAs and POAs and the orientation of new staff.
Manage terms and conditions within portfolio leases, including supporting notifications with tenants and ensuring financial obligations are met, providing details to the financial management team for CAM chargebacks.
Prepare cost estimates for repairs and maintenance, tenant improvement projects and operating projects.
Develop project specifications, requests for proposals and service contracts per HRE policies and procedures.
Prepare operating and capital budgets, provide forecasts, and research cost management solutions for the portfolio.
Serve as a key member of the HRE Local Emergency Management Team and function as essential personnel during emergencies.
Partner with the Office for Sustainability to implement portfolio sustainability goals.
Partner with Environmental Health & Safety to mitigate risks for properties and occupants.
Provide backup for APMs and other staff for related tenant, property or vendor matters.
Utilize HRE leasing and operations system (Yardi) and other Harvard internal systems (Buy2Pay, C-Path, Concur) to support project needs and financial processing and reporting.
Participate in professional development opportunities.
Performs other job-related duties as assigned.
Qualifications Basic Qualifications:
Five years’ experience with commercial property management.
Proven experience with real estate accounting reports and systems.
Commercial/industrial lease management with lease interpretation experience.
Additional Qualifications and Skills:
Bachelor’s degree preferred.
IREM© Certified Property Manager (CPM) or equivalent certification preferred.
Supervisory experience preferred.
Strong organizational skills with the ability to manage projects and work independently from start to finish.
Proficiency in Microsoft Office, writing business correspondence, and project management software.
Ability to work collaboratively in a team with knowledge and experience with MEP systems.
Demonstrated success working in a team environment.
Ability to work under pressure and meet deadlines.
Excellent customer service, organizational, written, and communication skills.
Ability to execute operating projects or small tenant fit-outs.
