Technical Records Specialist II

The Idaho Department of Environmental Quality (DEQ) is hiring a Technical Records Specialist II for the Coeur d'Alene Regional Office. Salary: $21.09 Responsibilities: Support the Drinking Water/Engineering Sections: Provide administrative support to the Drinking Water section for routine correspondence and emails to public water systems. Maintain and manage records database for public drinking water systems in the Coeur d'Alene region. Review drinking water systems inventory information to ensure new systems are entered into the Safe Drinking Water Information System and unregulated systems are removed. Notify staff, prepare letters for staff to send to systems for notification, and email correspondence to the systems when violations occur. Proof and correct correspondence, plan meeting and training arrangements, send out mailings, and scan records for Drinking Water. Provide administrative support for the Engineering section, including for wastewater, solid waste, and the grants and loans program. Maintain electronic engineering plans and the specification database for logging and tracking plan submittals, reviews, and approvals. Provide office-wide administrative functions: Provide backup support for incoming calls and greeting visitors. Provide backup admin coverage. Minimum Qualifications: Experience: Monitoring record systems to identify and correct errors Interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs Analyzing information and researching a variety of sources to identify and resolve problems or issues Dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations Entering and retrieving data using a computerized record system Composing and proofreading business correspondence Desired Specialty Minimum Qualification: This is not an entry-level role; this position requires at least 3 years of relevant experience and the ability to make informed decisions. At least 3 years' experience: Conducting sensitive fact finding interviews; Storing, retrieving, and compiling information in a report format using database software; Using spreadsheet software; Working with sensitive or restricted data; Operating word processing equipment and software at the rate of 40 wpm; Creating mass mailings using mail merge functions; Using presentation software such as Microsoft Office products. Physical Requirements (with or without reasonable accommodations): Ability to sit and work on a computer for 2-4 hours at a time. Ability to bend and reach for filing purposes. Some periods of heavy reading and typing are required. Ability to lift 30 pounds when working with file boxes. Some travel may be required.
