Job Summary Assist the Director of Student Accounts in providing direction and leadership of the day-to-day operations of the Student Accounts Office. Focus areas will include compliance, the department's efficient use of technology, communications, and customer service. The Assistant Director will act in the absence of the Director.

Essential Functions

Assist with the administration of student accounts to include, but not limited to: refund processing, delivery and timeouts, student billing, return of Title IV funds, 1098-T reporting, third‑party employer and agency billing, collections, grant funding and internal funding, student account holds, payment plans, bookstore purchases, purchase orders, international deposits, and insurance, outside scholarships, and various reconciliations.

Responsible for coordination of training for new student accounts staff and student services staff. Review desk manuals for student accounts staff members and ensure manuals for duties are updated annually. Recommend process changes to increase departmental efficiencies. Assist the Director in establishing a departmental strategic plan and outline of departmental goals. Communicate departmental policies and operational procedures to students, staff, faculty, and administrators. Assisted in developing and administrating internal quality controls and represented the Student Accounts Department on college committees/teams.

Responsible for coordination of departmental coverage for in‑person, phone, and email customer inquiries. Utilize conflict resolution skills to work with disgruntled students and parents, helping them understand the situation and identify potential solutions. Maintain student confidentiality in accordance with FERPA regulations.

Collaborate to foster good relationships with colleagues from other areas of the college, including, but not limited to, Financial Aid, Business Office, Registrar’s Office, Bookstore, Grants, Admissions, International Education, Counseling, faculty, etc.

Perform other duties as assigned.

Required Qualifications

Three years of experience with Student Accounts, Financial Aid, Student Services, or Administration in a higher education environment.

Experience working directly with customers, clients, or students.

Demonstrated ability to work independently and as part of a team in a fast‑paced environment with attention to accuracy, details, and deadlines.

Ability to establish relationships and work tactfully and effectively with diverse populations, including students, parents, faculty, administrators, staff, third‑party agencies, employers, and service partners.

Excellent oral, written, and interpersonal skills, including communicating complicated information clearly and concisely.

Ability to plan, organize, and manage time.

Knowledge of current software applications.

Ability to interpret policies and regulations to ensure compliance.

Experience with educational or financial databases similar to Banner.

Demonstrated ability to successfully plan and manage an assigned project from start to finish.

Desired Qualifications

Knowledge of Title IV regulations and requirements related to Student Accounts.

Direct experience using Banner software.

Community College experience within the state of New York.

Accounting and Bookkeeping experience at a career school/College.
