
Position Summary
The marketing coordinator designs, prepares, and submits technical proposals. They support the proposal process, coordinate information from staff and subconsultants, and maintain accuracy of content. They collaborate with marketing strategists to meet schedules, follow standards, and support growth across pursuits.
Essential Responsibilities
Serve as the central point of contact for assigned proposals.
Establish deliverable schedules, arrange meetings, and oversee final submission.
Coordinate with internal staff to request information and track responses.
Request and track required materials from subconsultants for compliance.
Attend kickoff meetings with a marketing strategist or senior staff.
Review RFP/Q documents and prepare summary materials for technical teams.
Update resumes, project sheets, and related content with new information.
Compile, write, edit, and format proposal content for compliance and alignment with firm standards.
Monitor content to ensure full compliance with requirements and evaluation criteria.
Send drafts to technical teams or marketing staff for review and comments.
Confirm proposal submission with the team.
Participate in internal debriefs to assess successful strategies and areas for improvement.
Oversee proposal closeout and save updated materials to firm repositories.
Assist in preparing qualifications packages, presentations, and related materials.
Support production of interview materials and other presentation tools.
Support additional tasks such as photography coordination or assistance with other proposals as assigned.
Education and Licensure
B.A. or B.S. in marketing, communications, journalism, or related field preferred.
Experience in AEC or professional services marketing preferred.
Qualifications
Strong verbal and written communication skills.
Strong organizational skills and ability to manage multiple deadlines.
High attention to detail.
Demonstrated proficiency in Adobe Creative Suite with mastery of InDesign.
Ability to work independently and track progress with minimal supervision.
Strong interpersonal skills and ability to work with varied teams.
Strong design and layout skills.
