The Marketing Assistant provides administrative and operational support for the marketing department by organizing materials, supporting campaign execution, processing requests, and maintaining marketing records, calendars, and assets.
Responsibilities
Track marketing order requests and fulfillment for offices statewide
Monitor inventory levels and place reorders as needed
Coordinate with the onsite print shop on production, timelines, and quality
Support marketing team scheduling and calendar coordination
Update and maintain website content to keep messaging current and accurate
Maintain ratings and reviews platforms and online business profiles to support online reputation, consistency, and visibility
Support corporate sponsorships and field initiatives, including asset coordination, event logistics, deadlines, and partner deliverables
Assist with social media posting, scheduling, and basic content creation
Create basic graphics using provided templates and brand guidelines
Maintain and audit shared marketing files, templates, and materials to ensure all assets remain current, accurate, and consistent across the organization
Help keep marketing projects on schedule by communicating updates and tracking required approvals
Experience & Required Skills
Highly organized with strong attention to detail and the ability to manage multiple priorities at once
Able to take ownership of assigned projects and work independently while staying aligned with team goals
Strong written and verbal communication skills
Proficient with Canva for creating and editing marketing materials
Working knowledge of Microsoft platforms including Outlook, Teams, OneDrive, and SharePoint
Experience using Adobe Acrobat for editing, formatting, and managing documents
Comfortable learning new tools, systems, and workflows as the department evolves
Education & Certification
Associate’s degree or relevant experience in a support or administrative role
Certifications, or demonstrated skills in entry-level marketing concepts
Physical Requirements
Ability to sit for extended periods of time
Ability to occasionally stand, stoop, bend, and kneel
Manual dexterity to use hands and fingers to handle, control computer and telephone keyboard
Visual acuity to read printed and electronic documents
Ability to regularly speak clearly so listeners can understand
Ability to understand the speech of others
Occasionally lift 10-30 pounds
