Marketing and Proposal Coordinator

for our office in Washington, DC. This position will be based in Washington, DC.

Position Purpose The Marketing and Proposal Coordinator will support firm growth by executing digital marketing initiatives and coordinating high‑quality proposal and qualification submissions. This role will work closely with the Marketing and Communications Manager, technical staff, and practice area leaders to strengthen Baumann’s market presence, support business development pursuits, and deliver consistent, compelling messaging across all marketing and proposal materials.

This position primarily supports pursuits and marketing initiatives for the Washington, D.C. and Chicago offices. Projects are nationwide with a focus on the Mid‑Atlantic and Mid‑West region.

Key Responsibilities Main responsibilities of the Marketing and Proposal Coordinator include (but are not limited to):

Proposal Development & Coordination

Review and summarize RFQs, RFPs, and proposal requirements; develop proposal outlines, schedules, and compliance checklists in coordination with proposal managers.

Coordinate proposal and qualification submissions, using the Asana platform, from kickoff through final submission.

Edit, format, and assemble proposal documents to ensure clarity, consistency, compliance, and alignment with branding and template standards.

Develop proposal narratives, firm overviews, resumes, project descriptions, and supporting content in collaboration with technical staff.

Maintain and update proposal content libraries and boilerplate, including resumes, case studies, boilerplate text, and graphics.

Support interview materials, presentations, and digital leave‑behind packages as needed.

Digital Marketing

Plan, coordinate, and execute digital marketing campaigns aligned with the firm’s strategic goals.

Support social media strategy and execution, including content development, scheduling, coordination with internal teams, and tracking emerging trends and tools.

Coordinate and support blog and thought‑leadership content, including editing, formatting, publishing, SEO optimization, and keyword research.

Provide word processing, publishing, and graphic design support for marketing materials, including infographics, charts, social media, and internal communications.

Support internal communications, including monthly updates, announcements, and materials for meetings or special initiatives.

Additional Responsibilities

Research and track speaking engagement opportunities and coordinate submissions.

Research industry and networking events, and awards; attend events on behalf of the firm as needed.

Monitor relevant industry sources for project leads, research business opportunities and assist in strategy development.

Maintain and update the CRM database, Deltek Vantagepoint, with accurate project, client, contact, and employee information.

Requirements and Qualifications

Bachelor’s degree in Marketing, Public Relations, Journalism, English, Communications, or related field.

Minimum of five (5) years of professional experience in the AEC industry.

Demonstrated experience with proposal development, RFQs/RFPs, and qualification packages within the AEC industry.

Proven experience or strong interest in digital marketing and content management.

Proficiency in MS Office (Word, Excel, PowerPoint)

Experience with WordPress, Asana, Deltek Vantagepoint, and Adobe Creative Cloud (InDesign, Photoshop, and Illustrator) strongly preferred.

Excellent written and verbal communication skills in English;

Strong writing, editing, and proofreading skills with attention to detail.

Strong interpersonal skills and ability to collaborate effectively with technical and non‑technical staff.

Excellent organizational and time‑management skills; ability to manage multiple time‑sensitive deliverables simultaneously
