About the Role The
Assistant Commercial Property Manager
plays a key administrative and operational support role within a Seattle-based commercial office portfolio. This position partners closely with the Senior Commercial Property Manager to ensure smooth day-to-day operations, exceptional tenant service, and accurate financial and administrative workflows.
This role is ideal for a detail-oriented, organized professional looking to grow within the commercial property management field.
Key Responsibilities Administrative & Office Support
Manage office operations including answering phones, handling correspondence, filing, scheduling, and maintaining organized digital and physical records.
Prepare and distribute tenant notices, reports, meeting agendas, and property communications.
Assist with data entry, invoice processing, vendor documentation, and contract tracking.
Support lease administration by maintaining files, updating tracking spreadsheets, and coordinating document signatures.
Greet and support tenants, addressing routine questions, maintenance inquiries, and service needs.
Track and follow up on tenant work orders and communicate status updates.
Assist with tenant move-ins, move-outs, and orientation processes.
Submit, track, and close maintenance work orders in the property management system.
Coordinate scheduling for vendor services, inspections, and preventative maintenance.
Assist in maintaining vendor credentials, COIs, logs, and performance documentation.
Assist with accounts payable/receivable processing, coding invoices, and preparing monthly reporting packages.
Help compile budget materials and track expenses throughout the year.
Support CAM reconciliation preparation through data gathering and document organization.
Operational Support
Conduct periodic property walks with the Senior Commercial Property Manager and document findings.
Maintain building signage, posting requirements, and compliance documentation.
Help coordinate emergency procedures, drills, and communication updates.
Qualifications
1–3+ years of similar experience to an Assistant Commercial Property Manager (experience in commercial, not residential, property management is required)
Strong organizational skills with high attention to detail and the ability to manage multiple tasks.
Excellent customer service, communication, and interpersonal skills.
Proficiency with Microsoft Office; experience with Yardi, MRI, or similar systems preferred.
Ability to work onsite daily and collaborate closely with the property management team.
