Leasing Administrator
will serve as the operational backbone of the Leasing Department, ensuring the smooth and accurate execution of leasing activities across the company. This role is responsible for routing, tracking, and coordinating lease documents through multiple departments while partnering closely with Leasing, Legal, Asset Management, and Accounting to support lease execution, amendments, renewals, and related documentation. The ideal candidate brings strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast‑paced environment. Experience with lease abstracting and/or paralegal work is highly beneficial, along with the confidence and assertiveness to follow up with stakeholders and ensure deadlines are met. This position is based in our Santa Ana, CA office.
Duties/Responsibilities
Manages the lease administration process from LOI through full execution, including preparing and tracking internal approval documents.
Reviews and abstracts LOIs and routes to various departments for internal review and approval and follows up as needed.
Prepares final lease summaries, routes to management review and approval, and ensures timely responses from required departments.
Maintains deal trackers and status reports for leasing activity across multiple projects and properties.
Prepares and circulates final lease execution packages and manages the signature process to completion
Distributes fully executed documents to internal teams and third‑party partners and maintains organized leasing files and records.
Assists with special projects as needed and performs other job‑related duties as required or assigned (i.e., tracking and processing broker commission payments).
Participate in activities needed to support and promote the company culture.
Qualifications
An Associate's degree or equivalent from a college or technical school; or 2-3 years of related experience and/or training; or equivalent combination of education and experience.
Ability to read and understand retail leases (office ok)
Ability to be assertive to ensure deadlines are met
Proficient with Yardi a plus.
Proficient with Microsoft Office suite (Outlook, Excel, Word) and Adobe Acrobat.
Excellent communications both written and verbal.
