The Community Relations Specialist's primary role is to ensure targeted occupancy levels are maintained in all designated areas. This position involves representing the facility in community outreach, including participation at events and sponsorship opportunities. The Community Relations Specialist assists the Director of Marketing in identifying opportunities for advertising, public relations, and development of marketing collateral. This position is instrumental in coordinating and managing move-ins, move-outs, and transitions within campus living options.
Job Responsibilities:
1. Responsible for recruiting new residents.
a. Assists in maintaining occupancy in all campus areas. b. Conducts scheduled and unscheduled tours. c. Initiates phone calls to market available housing options. d. Coordinates resident move-in process with all departments. e. Maintains wait list, signs new resident contracts, and collects applicable fees. f. Coordinates move-outs, transitions, and refund process. g. Promptly handles all phone inquiries, returns calls in a timely manner, and mails marketing information packets to prospects h. Completes documentation utilizing prospect-tracking software. i. Assists Director of Marketing with marketing plan and budget for the campus to be submitted to the Executive Director.
2. Supports and assists in the development of marketing collateral material needs in conjunction with the Director of Marketing.
a. Provides strategies for advertising, providing direction and content points for Director of Marketing. b. Assists with information updates to the facility's website.
3. Accurately completes admission process.
a. Interviews/visits prospective residents. b. Completes application process to screen prospects for admission approval. c. Contacts nurse manager or designee to set up pre-admission assessment. d. Meets with new resident and resident's representative prior to admission to communicate level of care and financial responsibility. e. Assumes responsibility for timely and accurate completion of admission contract and supporting documentation.
4. Ensures new resident orientation.
a. Inspects resident room prior to admission. b. Notifies appropriate staff of expected resident and coordinates resident's move-in process with support services departments. c. Welcomes resident and family, escorts them to their living area, and completes orientation with resident.
5. Facilitates and ensures the delivery of admission reports and communication.
a. Assembles admission packets. b. Maintains accurate inquiry logs, tracking inquiries and providing data to Director of Marketing. c. Contributes articles for corporate and facility newsletters, and ensures the newsletter is sent to referral sources. d. Assists with planning and coordinating community and referral source events.
6. Assists Director of Marketing with public relations.
a. Identifies advertising and public relations opportunities to promote the facility. b. Ensures that all policies are followed related to videotaping/photography and release of confidential or privileged information.
7. Identifies community leaders and groups that are key public contacts for the facility.
a. Creates a conduit between community groups and leadership to ensure a two-way flow of information related to issues and programs for the campus. b. Coordinates community sponsorship opportunities. c. As appropriate, serves as facility representative at key community events/meetings. d. Serves as key contact for general public inquiries from all sources.
8. Satisfies all educational in-service requirements mandated by CHI Living Communities, the department, external accrediting, and regulatory agencies.
a. Attends all mandatory in-service programs. b. Adheres to facility policies and procedures. c. Completes yearly online education program by deadline. d. Attends employee meetings on a regular basis.
In addition to the essential job specific duties listed above, the Community Relations Specialist shall be required to perform all duties (essential and non-essential) in a manner consistent with the mission and values (compassion, excellence, inclusion, integrity, collaboration) of CHI Living Communities and will be evaluated on such basis. Furthermore, every employee must abide by all campus, departmental, and safety policies, rules, and regulations. CHI Living Communities has the right to change the job specific duties and specifications required for the position of Community Relations Specialist from time to time without prior notice.
