
Summary
The Mission Engagement Specialist (MES) is responsible for leading the planning, coordination, and execution of major agency events—most notably Bowl for Kids’ Sake and Big Night of Bourbon. This role manages all event logistics from concept to completion, including venue coordination, vendor management, sponsor and donor engagement, and post-event evaluation. In collaboration with other departments, the MES supports fundraising efforts by cultivating event partnerships, securing sponsorships, and in‑kind donations promptly and accurately by inputting individual and corporate donations into the customer relationship management (CRM) system. The MES is also responsible for volunteer and match engagement including collaborating with program on match activities, managing 3rd‑party event tickets, and regular communication with volunteers through Slack to keep them engaged and up to date on our agency.
Position Abilities/Competencies Event Ownership
Plan and execute events by organizing and keeping track of all necessary steps from initial concept to the event’s completion. This includes a minimum of two major events throughout the year, Bowl for Kids’ Sake and Big Night of Bourbon
Coordinate all logistical aspects of events including selecting venues, coordinating services such as food and balloons, securing auction items, and working with all other vendors
Partner and support the Corporate and Community Directors to secure corporate sponsorships, auction items and other major donations related to fundraising events
Collaborate with Marketing and others to develop and implement strategies to support the organization’s mission and goals related to the events
Perform post event surveys and apply continuous improvement items into future events
Support fundraising goals and efforts for each event
Work together with appropriate stakeholders to ensure volunteers are prepared for each event
Process checks, credit card transactions, gifts of securities and gifts‑in‑kind daily, and accurately input pertinent information into the customer relationship management system
Develop and execute key reports necessary for timely donation reconciliation by BBBSCO’s designated accounting personnel
Engagement of Investors
Manage the events’ fundraising teams including leading the internal Big Brothers Big Sisters’ staff efforts.
Coordinate and present at partner companies for event recruitment and kick‑off activities
Support the Corporate and Community Directors in identifying, researching, and engaging new partners
Support the planning and execution in relation to third‑party events to assist with additional investment and fundraising as needed.
Provide customer service excellence for all stakeholders, maintaining a positive, professional image of Big Brothers Big Sisters of Central Ohio.
Perform other duties in full as assigned by the Chief Mission Engagement Officer
Engagement of Volunteers and Youth
Manage event tickets for Matches (Littles and Bigs)
In collaboration with the Director of Program and team coordinate and plan Match activities
Lead Volunteer engagement with agency via Slack, newsletters, updates, CEO Townhalls etc
Coordinate events related to our national partnerships as determined by BBBSA
Other Duties
Secondary to Donor Engagement Specialist to receive checks, code and enter donations, generate letters and prepare appropriate reports
Assist with handling incoming mail and preparing letters to be mailed externally
Position Requirements
Previous experience in event planning, coordinating, and mass communications required
A documented bachelor’s degree or associate degree or two years of higher education experience, from an accredited college preferred
Must be willing and able to work 40+ hours per week as needed
Must be willing and able to work with diverse populations
Must have reliable transportation and valid driver’s license
Must be able to lift 50 pounds and physically capable of transporting items to and from agency events
Project Management including appropriate software or programs
Proficiency in Microsoft Word, Excel, Teams, and Outlook
CRM system (ie. Salesforce) proficiency is a plus
