
Our client, located in North Houston minutes away from the Sam Houston Race Park, is seeking a Property Associate (PA) to play a key role in supporting the property management team through administrative, accounting, and operational responsibilities for one or more buildings. This position helps ensure smooth day-to-day operations while maintaining strong relationships with tenants, clients, vendors, and internal teams. The role is fully on-site Monday through Friday 9AM - 5PM and requires a high level of professionalism, organization, and customer service. Dress code is Business Casual and parking will be provided. Hourly rate is between 20-24 hr based on experience and this is a two month contract ended in mid-April.
Key Responsibilities
Assist with vendor setup, including W-9 collection and documentation
Track administrative expenses and support budget preparation and recurring financial reporting
Process Accounts Payable (A/P) by reviewing, coding, and submitting invoices for payment
Support Accounts Receivable (A/R) activities including billing, statements, collections, and manual billing adjustments
Maintain general office organization and filing systems (physical and digital)
Prepare, distribute, and file correspondence, reports, and memos
Monitor and respond to emails, phone calls, and work order systems in a timely and professional manner
Sort, distribute, and send incoming and outgoing mail and packages
Coordinate conference room scheduling, meetings, department events, and business travel
Update and maintain employee, tenant, client, and vendor contact databases
Support new tenant onboarding, move-ins, and move-outs
Coordinate building access requests and manage access card activation/deactivation
Maintain regular communication with maintenance, security, and building staff
Document incidents related to property or equipment liability and elevate to risk management as needed
Coordinate lease document execution, distribution, and filing
Track lease notifications and deadlines to ensure compliance
Manage tenant and contractor Certificates of Insurance (COIs), including tracking expiration dates and compliance standards
Qualifications
High school diploma required; Bachelor's degree preferred
Minimum of 1 year of experience in property management, commercial real estate, office administration, or similar role
Previous invoicing and billing experience required (AP/AR)
