JOB SUMMARY The Full‑Time Entertainment & Retail Marketing Coordinator supports the Entertainment Group by assisting with marketing operations, event planning, and administrative functions. This role is essential to the successful execution of entertainment programming and retail marketing initiatives across multiple properties. Responsibilities include processing weekly invoices, completing data entry, supporting marketing tasks, and providing hands‑on assistance with event planning, organization, and on‑site execution.
ESSENTIAL RESPONSIBILITIES Invoice Daily Tasks & Responsibilities
Send weekly email correspondence to all talent for invoice submissions
Obtain invoices from the Talent Buyer's invoice file
Review invoices for accuracy (billing address, rates, performance dates, etc.)
Document all invoices in the Invoice Tracker
Code, date, stamp, and print invoices for signature approval
Submit invoices to the Talent Buyer for approval
Scan approved invoices for upload
Upload invoices to the appropriate SharePoint folder or Yardi submission system
Marketing & Weekly Responsibilities
Weekly data entry of guest registration cards
Coordinate weekly car show raffles and trophy distribution
Attend weekly PR and staff meetings
Assist Marketing Manager with monthly email creation for Promenade at Sunset Walk, Plantation Walk, and Miami Worldcenter
Support administrative tasks (spreadsheets, laminating, printing, filing)
Assist with talent replacements as needed
Draft weekly talking points for review with the Marketing Manager
Event Tasks & Responsibilities Planning
Assist with collateral creation (graphics, Eventbrite pages, signage)
Support Talent Buyer with purchasing guest incentives
Assist with creation of event signage
Organization
Organize giveaways, trophies, guest check‑in materials, timelines, and signage
Assist with prepping talent greenrooms
Execution
Support setup prior to event start time
Assist with guest check‑ins using iPads
Provide on‑site support during events
Assist with event strike and breakdown
Events vary in size, preparation time, and schedule. Evening, weekend, and holiday availability is required.
JOB REQUIREMENTS
Minimum 1–2 years of experience in entertainment and/or marketing, or equivalent education and experience
High school diploma or GED required
Strong communication skills, adaptability, and organizational abilities
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Ability to read and interpret instructions and write simple correspondence
Basic math skills including fractions, percentages, ratios, and practical calculations
Adaptable, growth‑oriented, and willing to develop new skills
Ability to work a flexible, event‑driven schedule including evenings, weekends, and holidays
Strong verbal communication skills in English for collaboration with performers, technical teams, and event staff
Reliable and consistent attendance is required
PHYSICAL REQUIREMENTS
Ability to stand for extended periods
Ability to work indoors and outdoors in varied conditions
Ability to lift up to 25 lbs.
PREFERRED QUALIFICATIONS
Experience with SharePoint, Eventbrite, Placer.AI, and Salesforce
Copywriting experience
