Position Overview: The Marketing Manager serves as a strategic link between marketing and business development efforts, ensuring that brand positioning (voice and visual standards), client engagement, and pursuit activities are aligned to support client acquisition and retention. This role leverages tools such as the Deltek Vantagepoint CRM to connect marketing activity with business development outcomes and long‑range firm goals.

The Marketing Manager is responsible for managing day‑to‑day marketing operations and supporting pursuit efforts. This position leads weekly marketing meetings and collaborates closely with and seeks direction from the firm’s senior leadership, and project teams to support growth initiatives, professional visibility, and internal engagement. In addition to pursuit and client‑facing efforts, the Marketing Manager contributes to market research, system and process development, and marketing training to support the firm’s long‑term strategic plan.

Key Responsibilities: Primary Role: Marketing Management:

Proposals and Pursuits

Working alongside senior leadership and Principals, managing and producing RFP/RFQ responses, including strategy development, consistent messaging, content coordination, and final delivery.

Coordinate resumes, project sheets, narratives, and graphics.

Support for interview presentations, preparation, developing interview decks/presentation materials, messaging, and participation when appropriate. Translating firm strategy into clear market‑facing language.

Systems and Data

Manage the firm’s Vantagepoint CRM, including data integrity, resumes, project databases, firm credentials, reporting, and ongoing optimization.

Facilitate CRM updates and adoption/on‑going maintenance across the firm through training, guidance, and accountability.

Analyze CRM data to support pursuit strategy, client retention efforts, and leadership reporting.

Marketing Communications

Lead weekly marketing meetings, managing department workload, priorities, and resource allocation.

Prepare and distribute weekly marketing activity reports to track progress, workload, and initiatives.

Develop and refine marketing systems, procedures, and workflows to improve efficiency and consistency.

Support Media Coordinator position with management of website content, social media, photography (OpenAsset), case study development, awards, yearly calendars, and PR when required.

Complementary Role: Business Development Support:

Client and Relationship Development

Facilitate the client communication cycle in partnership with senior leadership and Principals.

Grow and nurture relationships with target clients, consultants, institutions, and professional partners.

Increase firm visibility and involvement in professional organizations such as SMPS and CREW, conferences and networking functions.

Support for external events and large‑scale creative initiatives.

Opportunity and Pipeline Management

Provide business development support through market research, pursuit tracking, and opportunity evaluation. Monitor market trends and competitive activity.

Lead go/no‑go analysis and discussions with senior leadership and Principals.

Help identify and track potential projects aligned with firm strategy.

Internal Marketing Support

Advancing firm‑wide initiatives, including intranet (SharePoint) and quarterly Nexus content, internal events, and communications.

Support marketing for internal events.

Required Skills and Competencies:

Strong understanding of marketing and business development principles within a professional services environment.

Demonstrated experience managing RFP responses, interview presentations, and pursuit strategies.

Proficiency with CRM systems, preferably Deltek Vantagepoint, including reporting and data management.

Excellent written, verbal, and interpersonal communication skills.

Calm under deadline pressure, strong organizational skills with the ability to manage multiple priorities and deadlines.

Ability to build and maintain effective relationships with internal teams, clients, consultants, and industry partners.

Experience supporting events, professional organization involvement, and business development initiatives.

Strategic thinker with attention to detail, initiative, and the ability to develop and improve systems and processes.

Experience Level: Experience 5 or more years’ experience in AEC marketing or professional services

Education: Professional degree in Marketing, Communications, Public Relations, or related field preferred
