is seeking an experienced
Senior Executive Legal Assistant / Client Services Specialist
to provide executive-level administrative support to senior, high-performing litigation attorneys. This role is ideal for a highly detail-oriented legal professional who thrives in a fast-paced, litigation-heavy environment and consistently produces polished, client-ready work product.
This position plays a critical role in supporting revenue-generating attorneys by managing complex litigation workflows, coordinating projects, and ensuring accuracy and quality across all attorney-facing and client-facing materials.
Key Responsibilities Executive & Client Support
Serve as the primary point of contact for assigned litigation attorneys, managing day-to-day administrative and operational needs
Coordinate client communications, manage highly sensitive and confidential information, and act as a liaison between attorneys, clients, and internal departments
Proactively anticipate attorney needs, manage priorities, and resolve administrative challenges with minimal supervision
Workflow & Project Management
Coordinate all workflow for assigned attorneys, delegating tasks to other support teams as appropriate and ensuring follow-up and quality control
Manage multiple litigation-related projects simultaneously, tracking deadlines, filings, and deliverables
Monitor project milestones, provide status updates, and communicate progress to attorneys and stakeholders
Effectively utilize workflow management software to log, monitor, and manage assignments
Calendar, Travel & Email Management
Manage complex calendars, hearings, meetings, and scheduling for litigation attorneys
Arrange travel and prepare detailed itineraries
Proactively manage attorneys’ inboxes, prioritize urgent communications, and draft responses as directed
Document & Matter Management (Litigation-Focused)
Prepare, edit, format, and
proofread litigation documents , including pleadings, motions, briefs, correspondence, and other client-facing materials
Ensure all documents are
accurate, polished, and client-ready
prior to filing or distribution
Maintain document version control, organization, and secure storage in compliance with firm policies
Facilitate document execution, filing, and distribution
Process new client and matter intake, including preparing matter forms, requesting conflict checks, and opening files
Coordinate billing-related administrative functions, including billing letters and client financial updates
Assist attorneys with tracking and monitoring matter budgets and alternative fee arrangements
Work within a team-based support model, sharing overflow responsibilities as capacity allows
Actively participate in team meetings and collaborate with colleagues to maximize efficiency and consistency
Share best practices, training tips, and process improvements
Additional Support
Prepare and process incoming and outgoing mail and correspondence
Maintain attorney contacts, CLE requirements, and professional memberships
Handle special projects and other duties as assigned
Operate standard office equipment and maintain professionalism in high-pressure litigation environments
Practice Group-Specific Support
Demonstrate proficiency within the assigned litigation practice group and perform duties specific to that specialty
Position Requirements
Bachelor’s degree with coursework in a related field
or
an equivalent combination of education and professional experience
5+ years of experience
providing comprehensive administrative support to organizational or executive-level leadership, preferably within a
law firm or professional services environment
3+ years of relevant legal assistant or legal administrative experience , with a strong emphasis on
litigation support
Demonstrated experience supporting
high-volume litigation practices
Advanced proficiency in
Microsoft Office Suite
(Word, Outlook, Excel, PowerPoint)
Exceptional attention to detail with
strong proofreading, grammar, formatting, and document production skills , including preparing
client-ready legal documents
Prior
legal transcription experience
Demonstrated ability to handle
highly confidential and sensitive information
with discretion and professionalism
Minimum typing speed of
60 words per minute
