Role Summary As a Marketing Assistant, you will ensure the smooth execution of daily marketing activities while providing superior customer service to prospects, clients, and internal team members. You will support the Director of Marketing and broader firm objectives through event logistics, client and prospect communications, database management, appointment coordination, and the implementation of marketing campaigns that reflect our values and elevate the client experience.
Key Responsibilities Daily
Support the Director of Marketing in implementing marketing strategies and operational tasks
Schedule and confirm client appointments; manage rescheduling needs
Input and maintain prospect and client records within the CRM/database
Call qualified concierge “AAA” clients to check in and build relationships
Record detailed notes from all client and prospect conversations
Serve as a backup phone operator and provide excellent client service
Weekly
Assist with the planning and execution of firm events and classes
Prepare and send weekly email campaigns to clients and prospects
Support implementation and follow‑through on new marketing ideas
Manage all outgoing marketing‑related correspondence and mailings
Assist with preparation for weekly staff meetings, including Marketing Focus materials
Monthly
Support client touch marketing activities, including follow‑up calls
Connect with event attendees before and after each event to enhance client experience
Quarterly
Audit client database categories to ensure accurate client segmentation
Support the preparation and mailing of client update reports
As Needed
Make reservations for team meetings in support of relationship‑building activities
Knowledge, Skills & Abilities
Ability to build rapport and motivate prospects to set appointments
Excellent project and event coordination skills
Strong prioritization and time‑management abilities
High attention to detail and consistent follow‑through
Results‑driven and able to work in a fast‑paced environment
Exceptional phone, written, and verbal communication skills
Proficient with computers, software, and CRM systems
Ability to multi‑task while delivering an elite experience to clients and prospects
Minimum Requirements
Quick learner with new software and tools
Working knowledge of database management and MS Office Suite
Experience with social networking platforms for business use
Previous database management experience
Associate’s degree preferred
Minimum 2 years of relevant industry experience
