Compensation:
$55,000 – $70,000 (Non-Exempt) + Performance Growth
About the Role We are hiring an
Executive Assistant, Founders & Operations
to support the founders of
Synthetic Grass Store
and
Arizona Turf Masters , two established, closely related companies based in North Phoenix.
You will work from our North Phoenix office and play a central role in keeping the founders focused, organized, and moving forward. While a dedicated automation specialist is building and documenting workflows in the background,
your role is to ensure those systems are actually used in day-to-day reality .
The Businesses You’ll Support The Synthetic Grass Store (SGS)
Founded in 2008, with 18 years of operating history and offices in Arizona and California, serving customers who value product quality, technical expertise, and long-term relationships.
Founded in 2006, with 20 years of operating history, recognized as a high-end specialized landscape contractor serving clients who value craftsmanship, technical execution, and long-term results.
Why This Role Is Different
You work directly with founders, not through layers of management
You are not asked to design systems—but you are expected to
enforce their use
Execution and follow-through matter more than ideas or intentions
You gain exposure to real operating businesses with long histories and high standards
If you have the skills to create clarity, enforce accountability, and drive follow-through, you will be a strong fit for this role.
Key Responsibilities
Executive Gatekeeping:
Monitor founders’ inboxes and calendars, filter noise, surface priorities, and ensure time is protected
Calendar & Priority Control:
Translate decisions and priorities into scheduled time and clear next steps
Task & Follow-Through Ownership:
Manage founders’ task lists (ClickUp/Asana). Assist directly where appropriate, coordinate support, or apply appropriate pressure until tasks are completed
System Adoption & Discipline:
As new workflows are rolled out (via HubSpot, ClickUp, Slack, dashboards), ensure data is accurate and processes are followed
Founder Accountability:
Act as the human follow-up when automated reports or dashboards indicate decisions or action are required
Operational Support:
Handle logistics, coordination, and occasional personal or special requests to reduce friction and distraction
Currently in use:
Microsoft 365 (Outlook, Excel, Word, Teams, OneDrive)
Select AI tools for drafting, summarizing, organizing, and research
Being actively implemented and expanded:
Slack
HubSpot
Project management tools (ClickUp, Asana, Notion, or similar)
Continued adoption of new AI tools as they become available and useful
You don’t need to be technical—but you must be comfortable working inside modern tools and holding others accountable to using them correctly.
Who You Are
The Finisher:
You don’t let things drift. If something is assigned, it gets closed
Structured by Nature:
You live by calendars, lists, and clear priorities
Assertive and Professional:
Comfortable working with busy founders and pushing back when needed
Execution-Focused:
You care more about outcomes than activity
Reliable:
Founders can trust that nothing important will slip without being flagged
Requirements
2+ years
supporting executives or business owners
with direct responsibility for calendars, inboxes, and follow-through
Strong proficiency in Microsoft 365
Comfort working in task and project management tools (ClickUp, Asana, etc.)
