Billing Coordinator

Mandelbaum Barrett PC is looking for an experienced Billing Coordinator to join our Roseland, NJ office. This is a full-time, fully in-person role that helps keep our billing process running smoothly day to day. You'll work closely with attorneys, legal assistants, and our accounting team to make sure pre-bills and invoices are accurate, sent on time, and meet client requirements. This role is not supervisory, but you will have additional responsibilities, including organizing the billing workflow and making sure nothing falls through the cracks. You will work alongside other billing staff and report directly to our Director of Accounting. Responsibilities:

Keep the billing workflow organized and moving, especially in a high-volume environment. Run pre-bills and coordinate with attorneys and staff to get edits and approvals. Review and clean up time entries (rates, matter codes, time entry descriptions, and billing rules). Make sure invoices meet firm standards and client billing requirements. Answer billing-related emails and questions from attorneys and staff. Work with our billing clerks and accounting team to resolve billing issues quickly. Pull billing and time reports as needed. Help track retainer balances and make sure retainers are applied correctly. Support the accounting team with other tasks as needed. Qualifications:

5+ years of billing experience (law firm billing strongly preferred; professional services billing also welcome). Strong attention to detail and solid follow-through. Comfortable supporting multiple attorneys and balancing competing priorities. Team player who works well with both billing staff and attorneys. Positive attitude and able to stay calm when things get busy. Strong follow-up skills and ability to manage deadlines in a high-volume environment. Strong skills in Excel, Word, and Outlook. Familiarity with e-billing is a plus. Experience with SurePoint or similar legal billing software is preferred. Compensation & Benefits:

This position offers a salary range of $60,000 - $80,000 annually, commensurate with experience and qualifications. Final compensation will be determined based on factors such as experience, skills, and qualifications. Support staff may also be eligible for discretionary year-end bonuses and a merit-based increase. The posted salary range reflects the base pay range for this position.
