Position Overview
We are seeking an enthusiastic and detail‑oriented Event Coordinator/Specialist to join our Trade Show and Sponsored Events team, which operates as part of our broader Event Marketing organization under the VP of Experiential and Product Marketing. In this role, you’ll manage your own portfolio of trade shows and sponsored events—typically smaller, more straightforward events with fewer logistical complexities—while collaborating alongside our Event Marketing Managers who handle larger, more complex programs. This is an excellent opportunity for someone looking to build their career in event marketing, whether you have direct trade show experience or transferable skills from project management, coordination, or related fields. What You’ll Do
Trade Show & Event Execution
Own end-to-end coordination and execution of an assigned portfolio of smaller trade shows and sponsored events
Coordinate all event logistics including materials shipping, on‑site operations, and vendor management
Work with show vendor portals to register booth staff and procure event essentials such as electricity, internet, and other booth accessories
Manage inventory of event supplies, promotional materials, and trade show assets
Coordinate travel arrangements for team members attending events, including transportation, hotel accommodations, and meals
Ensure all marketing materials and promotional items are prepared, brand‑compliant, and available for events
Support booth operations and coordinate with sales teams on‑site
Track event expenses and ensure adherence to assigned budgets
Coordination & Support
Collaborate with Event Marketing Managers and cross‑functional teams on event logistics
Manage event registration processes and attendee communications for assigned events
Maintain organized documentation of event processes, timelines, and vendor contacts
Ensure booth staff is assigned, travel arrangements are made, and all event information is clearly communicated to the on‑site team
Post‑Event Activities
Conduct post‑event evaluations to gather feedback and identify areas for improvement
Track event attendance and engagement metrics for assigned events
Complete post‑event documentation and reporting
Qualifications
Required
1‑3 years of experience in event coordination, trade shows, project management, or related field
Strong organizational skills and attention to detail
Excellent communication and interpersonal skills
Ability to manage multiple projects simultaneously and work to deadlines
Proficiency in Microsoft Office Suite or Google Workspace
Proactive attitude and ability to solve problems independently
Team player with ability to build strong working relationships across departments
Ability to travel domestically up to 25% as needed
Ability to handle physical demands of trade shows, including standing for extended periods and lifting/moving objects up to 25‑40 pounds
Preferred
Experience with trade shows or corporate events
Familiarity with event management software
Experience in the legal tech or SaaS industry
Bachelor's degree in Business, Marketing, Hospitality, Communications, or related field (or equivalent work experience)
