
Sales & Services Coordinator

REPORTS TO: Senior Vice President of Sales
Primary Function This position is responsible for managing the CRM database (Simpleview) and providing administrative support to the Sales and Services Department.
Responsibilities
Support sales team with generating leads for hotels, attractions and other meeting venues in Winston-Salem/Forsyth County and convert leads to booked business.
Assist sales managers by compiling hotel responses and generating proposals through Sendsites or other requested formats in a timely manner.
Assist with computerized housing operation, including securing room/rate commitment contracts, and following up to ensure hotels’ reservations department sends confirmation numbers to delegates.
Handle requests for the visitor information table and deliver marketing collateral to convention groups.
Schedule Visitor Information Specialists and/or volunteers to assist convention groups. Maintain accurate records of the number of hours worked, services provided and all appropriate follow up.
Use Simpleview to keep accurate client and partner information current and orient new partners in the use of Simpleview.
Record, transcribe, distribute, maintain monthly Industry Sales Meeting minutes and materials.
Research and generate prospect reports for the department by utilizing software systems such as Simpleview and Mint+.
Collect event history for groups who have stayed in or may be considering Winston-Salem.
Maintain required resources in support of the sales managers for industry sales and tradeshows and future requests.
Handle all correspondence of the sales department including client letters and direct mail pieces.
Support and coordination of social media posts related to sales team activities.
Assist clients in absence of sales managers.
Compile and distribute monthly Sales reports to include but not limited to the Hospitality News and Lead Log.
Identify, secure, and maintain appropriate levels of VWS promotion items utilizing Simpleview for inventory management.
Secure additional hotel rooms for overflow requests.
Provide event logistics support for client visits, FAMs, and sales meetings to include but not limited to designing, distributing invitations; collecting, monitoring RSVPs; securing dining, transportation, housing, and entertainment aspects to support the event.
Assist the sales and services team in the development of the annual budget and marketing plan.
Perform other duties as assigned.
Job Requirements and Knowledge
Previous CVB or hospitality experience preferred.
Ability to problem solve, build consensus, assess and resolve business-related differences, and think and act strategically and in cooperation with the entire organization required.
Ability to lift boxes up to 25lbs.
Proficient with computers and office equipment.
Must be very detail-oriented and organized.
Must be able to learn quickly, work independently and perform responsibilities in a timely manner with minimal supervision.
Must be able to communicate effectively verbally and in writing.
Must be able to work independently.
Must be able to multi-task.
Must have a vehicle and valid driver's license to perform duties and other job functions involving transportation.
