
Overview
The Windfall is partnering with a Hedge Fund that is seeking to hire an Executive Assistant. Their Midtown Manhattan office has just gone through a brand new buildout where you will be able to enjoy all the perks of the space. You will be part of the Legal & Compliance team supporting the General Counsel, Chief Compliance Officer and other team members. They foster an empathetic environment with an amazing training program. This role is working in the office Monday through Fridays from 8:00am-6:00pm with the flexibility for overtime as it is required.
Responsibilities
Manage complex calendars, scheduling internal and external meetings, board meetings, etc.
Coordinate international and domestic travel arrangements (including live time troubleshooting in the event of travel disruptions) and handle expense reporting and reimbursement process
Prepare meeting agendas, materials, and follow ups: track action items/deadlines to completion
Setup conference/video calls and with internal and external parties (make sure technology is working in conference room)
Serve as primary point of contact for internal stakeholders and external parties interacting with Legal & Compliance
Assist with outside counsel invoice processing, and help coordinate the Legal & Compliance and Finance teams on legal spend reporting and new vendor setup procedures
Handling of confidential information and materials
Register and update contacts in internal databases
Assist in maintaining and organizing legal and compliance records, both physical and electronic
Even planning/organization for Legal & Compliance team off-site meetings, dinner, etc.
Exercise sound judgement in escalating issues, managing priorities and protecting firm interest
Identify opportunities to streamline administrative and legal/compliance workflows
Assist with implementation and maintenance of compliance and legal AI platforms
Monitor attorney’s CLE requirements and license renewal deadlines
Back-up other EAs
Assist with office-wide projects and events, as needed
Requirements
5+ years of administrative experience supporting a legal team in finance, consultancy, tech or a law firm
Travel and logistic coordination (domestic and international)
Heavy calendar management
Working with databases
Work in an international environment
Communicating with executives
Experienced computer user: DocuSign, AdobeSign, Slack, Adobe Acrobat & MS Suite (Outlook, Excel, Word & PowerPoint)
Team-minded approach to tasks and projects
Ability to balance multiple concurrent projects and prioritize work in a fast-paced environment
Service minded with a "can do” attitude
Focus on quality and a strong attention to detail
Flexible style and the ability to seek solutions both independently and as part of a team

$110-120,000 Base Salary
