Executive Assistant/Bookkeeper
to support our director and keep our growing department organized and efficient.
About the Role You'll be the right hand to the Director of EPDS, managing administrative operations, financial tracking, and vendor relationships. This is a hands‑on position perfect for someone who loves variety, enjoys learning new systems, and takes pride in keeping the details straight while supporting the big picture.
Responsibilities
Process and track work orders for third-party architects, engineers, and design professionals
Prepare invoices and maintain accurate billing records
Manage professional service contracts and vendor documentation
Run weekly reports on contract status, job profitability, and vendor performance
Support annual budget preparation and ongoing financial tracking
Provide executive-level administrative support to the Director, including correspondence, scheduling, and communications
Help implement and maintain our workflow management system
Coordinate department culture initiatives and internal events
Maintain organized records and tracking systems across multiple platforms
Identify opportunities to streamline operations and improve efficiency
Support the adoption of new tools and workflows as the department grows
Qualifications
3–5+ years of experience in executive assistance, bookkeeping, or operations support
Strong proficiency in MS Office (Outlook, Excel, Word) and Adobe
Exceptional organizational skills and attention to detail
Comfortable managing multiple priorities in a fast-paced environment
Excellent written and verbal communication skills
Self-starter who can work independently and take initiative
High school diploma required; college degree preferred
