The Role
TurbineOne is hiring an Executive Assistant / Personal Assistant to support the Chief Executive Officer (CEO). This is a highly trusted, high-impact role designed for individuals who thrive in fast-moving environments and take pride in enabling exceptional leadership performance. Candidates for this role must be Northern California‑based, preferably near San Francisco and willing to occasionally travel to Sonoma.
This role blends traditional executive assistant responsibilities with personal assistant support. You will serve as a strategic partner—anticipating needs, managing complexity, protecting executive time, and ensuring professional and personal priorities move forward seamlessly. These roles require excellent judgment, discretion, and the ability to operate independently with confidence.
Executive Support
Own complex, high-volume calendar management across multiple time zones; proactively identify conflicts, dependencies, and priorities
Coordinate domestic and international travel, including flights, lodging, ground transportation, itineraries, and contingency planning
Prepare executives for meetings by managing agendas, briefing materials, action items, and follow-ups
Serve as a primary liaison between executives and internal teams, external partners, advisors, and stakeholders
Handle highly sensitive, confidential, and time‑critical information with discretion and sound judgment
Personal Assistant Support
Manage select personal logistics for executives, including scheduling, travel planning, and personal appointments
Support family‑or‑life‑adjacent coordination as needed (schools, events, special occasions, and managing complexities that arise from overlapping personal and business travel)
Act as a trusted extension of the executive, handling tasks efficiently, professionally, and with minimal oversight
Operational & Administrative Support
Draft, manage, and organize correspondence, documents, and presentations
Track commitments, deadlines, and deliverables across professional and personal domains
Submit, track, and reconcile expenses; support light budget tracking where applicable
Coordinate logistics for meetings, dinners, offsites, and small events (venues, vendors, materials)
Support executives across company operations, partnerships, fundraising, and board engagement
Coordinate frequent travel between the Bay Area, East Coast, and customer sites
Assist with logistics related to company facilities, executive offsites, and internal events
Thrive in a startup‑style environment with ambiguity, speed, and evolving priorities
Qualifications
Required
5+ years of experience supporting senior executives (Executive Assistant, Personal Assistant, or Chief of Staff–adjacent roles)
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills
High degree of professionalism, discretion, and integrity
Ability to manage competing priorities, anticipate needs, and pivot quickly
Comfort working independently in a fast‑moving environment
Proficiency with modern productivity tools (Google Workspace, calendars, Slack, expense tools)
Preferred
Experience supporting executives in defense, government, technology, or high‑growth startups
Experience managing both professional and personal responsibilities for executives
Familiarity with government or military environments
Familiarity with startup, investor‑facing, or board‑facing environments
