Role Description This is a full-time, on-siterolelocatedin Bethesda, MD , for a Marketing and Office Operations Assistant . Responsibilities include supporting the daily administrative functions of our Bethesda office and assisting the marketing team with routine marketing updates and materials preparation to ensure operational efficiency and client satisfaction. This role is ideal for someone who is highly organized, responsive, and comfortable handling both office administration and marketing-related support tasks in a fast-paced professional environment.
Key Responsibilities Marketing Support
Assist with preparation and finalization of marketing materials including flyers, tour books, maps, reports, and presentation packages
Print and bind physical marketing materials for client meetings
Schedule email marketing campaigns through Constant Contact
Make basic updates to marketing materials and e-blasts
Maintain and update the company intranet and perform minor website updates through WordPress
Coordinate logistics for industry conferences and broker-hosted events
Prepare materials and assist with administrative needs for company events
Office & Administrative Support
Provide day-to-day administrative support to leasing brokers and office leadership
Answer and screen incoming phone calls and direct callers appropriately
Draft and respond to written communications via email and phone
Maintain oversight of basic IT issues and coordinate with IT services provider and team members as needed
Order and manage office supplies, software, and hardware
Process and route invoices to the finance team
Coordinate with vendors for signage installation, removal, and invoicing
Assist with new hire setup, employee status updates, and onboarding logistics
Maintain internal tracking documents and office records
Work collaboratively with team members to ensure smooth office operations
Qualifications
1+ year experience in an administrative, office support, or marketing assistant role
Associate’s degree or higher preferred
Degree in Marketing, Communications, Business Administration or a related field is a plus
Strong organizational skills and attention to detail
Ability to prioritize tasks and meet deadlines
Strong, professional communication skills, both written and verbal
Comfortable answering and routing phone calls
Ability to perform tasks efficiently in a collaborative, fast-paced, professional environment
Technical Skills
Experience in administrative assistance to handle office management and organizational tasks
Proficiency in Microsoft Office and 360 (Outlook, Sharepoint, Word, Excel)
Proficiency in Google Docs and Sheets
Knowledge of Adobe Creative Suite (InDesign, Illustrator, Photoshop) is highly desirable
Experience with email marketing platforms preferred
Basic familiarity with WordPress is a plus
