
Essential Job Function
Assist visitors to the COO office. Answer incoming telephone calls to the office, send written correspondence for leader: memos, letters, minutes, and agendas.
Coordination of meetings and calls for the COO, contact participants and stakeholders, check for availability, set date, time,
location, and reserve space. Arrange catering as needed.
Ensures calendar is up-to-date and that meetings are scheduled promptly.
Acts as a liaison between executives and internal departments, ensuring effective communication and cohesion within the office environment.
Coordinates and identifies travel arrangements for the COO.
Reviews expense reports for COO and leadership direct reports, ensuring compliance with company travel policies and other expense-related policies and procedures.
Submit requests for disbursement to Accounts Payable.
Orders supplies and maintains inventory for office.
Complete requisitions and submit purchasing orders. Receive and
distribute supplies.
Collects and organizes material to be presented in final form. Prepares electronic presentations to include charts, tables, graphs, PowerPoint, Excel and other reports.
Performs other duties as assigned.
Education
Required: Bachelor's Degree in Business Administration or related field of study
Preferred: Master's Degree in Business Administration, Healthcare Administration, or related field of study
Experience
- Required: 3 years of administrative support; Proficiency in using a variety of software systems such as Microsoft Word, PowerPoint, Excel, and Outlook. Ability to effectively communicate with clinicians and hospital staff. Preferred: Paralegal background, project management expertise, and extensive experience providing high-level executive support strongly preferred
