Job Overview
Were seeking a Proposal Coordinator to manage and coordinate proposals (RFPs, RFIs, RFQs) to prospective clients. This role is central in the business development lifecycle, acting as a point of contact and ensuring all proposal elements are completed on time, meet quality standards, and comply with requirements.
Key Responsibilities
- Proposal Process Management Develop and manage proposal schedules, outline deadlines, ensure deliverables meet timelines.
- Coordination and Collaboration Liaise between business development, estimating, finance, engineering, legal, contracts, quality, CM/PM, procurement to gather information and ensure content consistency.
- Content Development and Organization Draft sections, edit contributions, maintain a library of standard proposal content.
- Quality Assurance and Compliance Review and edit content for accuracy, completeness, grammar; ensure formatting and graphics meet company standards and RFP requirements.
- Communication and Follow?Up Facilitate kickoff and debrief meetings, communicate progress, provide feedback, coordinate post?submission follow?up.
- Administrative Tasks Manage printing and production of materials, track proposal status, maintain databases and files.
Essential Skills and Qualifications
- Bachelors degree in business, marketing, communications, English, or related field (preferred).
- Exceptional writing, editing, and proofreading skills with keen eye for detail.
- Strong organizational, time?management, and project?management skills to handle multiple tasks and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with graphic design software (Adobe Creative Suite) is a plus.
- Excellent verbal and written communication skills to collaborate with diverse teams and senior leadership.
- Thorough understanding of the proposal development process and RFP/RFI requirements.
- Industry knowledge: commercial and federal nuclear, familiarity with FAR/DFARS and related regulations (highly beneficial).
