Overview
Paramount is seeking a highly organized and resourceful Executive Assistant, to provide comprehensive administrative and operational assistance to the EVP, Cross-Company Marketing. The ideal candidate will be a proactive professional who anticipates needs, demonstrates a high degree of discretion and professionalism, and maintains composure under pressure. This position requires the ability to interact with senior executives and key collaborators across the organization and to handle sensitive and confidential information with the utmost integrity.
Responsibilities
Provide day-to-day administrative and coordination support for one senior executive, including calendar management, meeting scheduling, and travel arrangements. Anticipate and manage the executives priorities to ensure optimal time management and workflow alignment. Coordinate internal and external meetings, prepare meeting materials and agendas, and manage all follow-up communications. Draft, edit, and prepare correspondence, presentations, and reports with a high level of accuracy and professionalism. Manage expense reports and reconcile travel and entertainment expenses in accordance with company policy. Maintain organized electronic filing systems and department databases to ensure efficient information management. Track ongoing projects and initiatives, providing regular updates on progress and deadlines. Support preparation of presentations and creative materials using PowerPoint, Canva, and Adobe Creative Suite as needed. Act as liaison between executives, internal departments, and external partners to ensure effective communication and coordination. Assist with planning and execution of department events, off-sites, and cross-company marketing initiatives. Handle confidential and sensitive information with discretion and sound judgment. Perform additional duties and support special projects as assigned.
Basic Qualifications
2+ years of experience providing administrative or executive-level support, preferably within a corporate, media, or entertainment environment. Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel); experience with Canva, Photoshop, Illustrator, or WordPress a plus. Proven ability to manage complex calendars, prioritize competing demands, and meet deadlines. Demonstrated ability to exercise discretion and maintain confidentiality. Comfortable navigating and using social media platforms for professional and brand-related communications. Experience supporting senior executives.
Additional Qualifications
Bachelors degree or equivalent experience preferred. Strong written and verbal communication skills with a high level of professionalism. Excellent organizational skills and attention to detail. Strong interpersonal skills and the ability to build positive relationships at all levels of the organization. Ability to work both independently and collaboratively across teams and functions. Attention to detail and the ability to manage multiple priorities in a fast-paced, dynamic environment. A proactive mentality with the ability to anticipate needs and recommend improvements to processes and workflow. Ability to adapt to changing priorities and thrive in a fast-paced environment.
