Sales Administrative Assistant

Omni PGA Frisco Resort is seeking an organized and detailed Sales Administrative Assistant to join our team. Omni Frisco PGA Resort will provide north Texas with 127,000 square feet of event space, 13 new food and beverage outlets, an extravagant spa and a full entertainment district. Featuring two championship 18-hole golf courses along with a third short course, we will provide incredible options for our guests and local community for dining, events, and entertainment.

The Sales Administrative Assistant will handle all administrative duties required by the Sales and Marketing Divisions to provide superior services to our guests.

Responsibilities

Schedules and prioritizes workload to meet deadlines of all managers.
Types and distributes all correspondence, including letters, emails, proposals, contracts, etc. for assigned managers. Ensures that all correspondence is 100% accurate.
Manage lead inbox and loading of leads in FDC.
Maintain and update FDC to include loading room blocks, meeting space, concessions, etc. to prepare for tentative and definite booking process.
Audit and maintain account files and ensures that all information is included in FDC, i.e. budget, contract, booking recap, file turnover checklists, and cancellation checklists.
Answers calls to sales office and retains appropriate caller information prior to transferring.
Assist managers with setup of site inspections to include transportation, walking showrooms and meeting space, scheduling amenities, restaurant reservations, etc.
Enters work orders in Synergy as directed by managers.
Maintain daily transaction log/review monthly.
Gathers materials and mails packages to clients as necessary.
Takes minutes at committee/assistant meetings as directed.
Attends monthly department meetings and other company required training.
Orders office supplies and enters budget adjustments in Birchstreet.
Processes commission reports.
Inputs amenities for VIP clients and processes paperwork.
Participates in schedule rotation for department coverage.
Maintains PO's for the department.
Completes other duties as assigned by management.

Qualifications

Qualifications:

Previous hotel sales administrative experience preferred. College degree preferred.
Must be able to clearly and pleasantly communicate both verbally and in writing in English with guests, members, management and co-workers, both in person and by telephone.
Maintain a professional business appearance, attitude, and performance.
Must be proficient in Microsoft Office.
Must demonstrate exceptional organizational skills.
Knowledge of current relevant computer software programs is preferred (Delphi, Salesforce, Opera knowledge preferred)

Physical Requirements:

The ability to sit and utilize telephone/computer for an extended period.
Ability to walk for long periods in order to assist with site inspections of entire resort.

Interior of hotel, in normal office conditions.

Opening Fall 2025, the Omni Ft. Lauderdale Hotel is a 29-story hotel, located at 1950 Eisenhower Blvd, and connected directly to the Broward County Convention. The property offers 801 guest rooms and suites, multiple restaurants, a vibrant rooftop bar, a sprawling pool, spa, and fitness center. The hotel will also have over 120,000 square feet of indoor and outdoor meeting and event space, including a grand ballroom, junior ballroom, 25 breakout rooms and pre-function meeting space with waterfront views.

Responsibilities

Schedule & prioritize workload to meet deadlines of all managers.
Type and distribute all correspondence, including proposals, booking notices, letters, contracts, etc. for assigned managers, ensuring that all correspondence is 100% accurate.
Utilize Delphi correctly, to ensure managers can accurately track, book and follow-up on all accounts/bookings.
Assist in the accurate distribution of lead caching by territory.
Assist Sales Team with all Site preparation and support with sales kits / brochures etc.
Assist managers with sales calls and participate in sites, FAMs, trade shows and other related market events as required.
Assist Sales with collecting & routing favors (e.g. rooms/loyals/VIPs/upgrades) for individual reservations through the Group Reservations Coordinator. Confirmed Group requests go through Group Reservations Coordinator/Conference Services Manager.
Maintain account/booking files and ensures that all information is included in file, i.e. accurate traces, turnover-checklist, history, letters, emails, deposits, letters, etc.
Ensures that all managers receive messages in a timely manner. (Messages to include name and phone number of callers, date and time call received).
Coordinated general office functions.
Liaise with other hotel departments to help ensure Sales clients' needs are met/exceeded.
Performs other duties as assigned by manager.

Environment & Position Analysis:

Move, bend, lift, carry, push, pull, and place objects weighing up to 40 pounds without assistance.
Stand, walk or sit for an extended period or for an entire work shift.
Requires repetitive motion, including utilizing telephone/computer for an extended period or for an entire shift.

Tools & Equipment:

Desktop computer (Opera, Delphi, Oracle, Birchstreet, Kronos and Microsoft Office), printer, telephone, copier, fax machine and scanner. Microsoft Excel proficiency required.

Qualifications

Previous catering, convention services, or sales support experience required (Large convention hotel preferred). Other relevant event, meeting planning, or hotel operations experience will be considered.
High school education required, college degree preferred.
Ability to clearly and pleasantly communicate both verbally and in writing in English with guests, management and co-workers, both in person and by telephone.
Ability to accurately and efficiently input information into computer systems, with developed computer proficiencies. Delphi experience strongly preferred.
Ability to work cohesively with co-workers both within and outside of your department.
Ability to think clearly, quickly and make concise decisions.
Ability to work well under pressure, dealing with many guest requests/questions within a short period of time.
Strong organizational skills with the ability to prioritize and multi-task in a fast-paced environment. Ability to prioritize and organize workload to ensure deadlines are met.
Able to evaluate and select among alternative courses of action quickly and accurately, identifying and solving problems as necessary.
Ability to handle stressful situations, while maintaining a calm and welcoming demeanor.
Customer service oriented with a desire to create memorable guest experiences.
Ability to use various office equipment, including but not limited to, calculators, photocopiers, and facsimile machines.
Must be able to work a variety of shifts, including nights, weekends, and holidays.

Sales Assistant

Omni Hotels & Resorts is seeking a dynamic Sales Assistant to provide support to Global Sales leadership and team. The ideal candidate will provide joint support for the sales efforts to maximize the meetings segment revenues through direct sales. This role will aid in coordinating sales activities in addition to office administration tasks on behalf of the Global Sales Office members with special focus on Global Accounts.

Remote work eligibility will be considered for highly qualified candidates with relevant experience.

Responsibilities

Client & Director Support

Provide assistance to multiple Global Account Directors, Corporate Director-Global Sales, and other associates.
Daily/weekly client engagement, assisting Global Account Directors with client follow up on outstanding items.
Frequent client engagement to assist Global Account Directors with client follow up regarding the status of their meeting request.
Support moving business through the sales cycle by following up with hotels on lead status and tracking responses to RFPs.
Oversee Outlook inbox for Global Account Directors when out of office and handle leads and issues.
Assess immediate situations and the priority of each; delegate when appropriate and provide independent follow through as required.
Understands Omni Hotels sales and business processes, supports Corporate and property goals and contributes to enhancement of customer value.

Communication & Meeting Support

Answer phones and direct calls to appropriate sales manager or determine and perform the necessary action for incoming calls.
Keep minutes for weekly sales meetings and other important meetings.

Sales Systems & Data Management

Enter sales opportunities into Sales Force; keep information current on each lead.
Create and run reports in Sales Force, PowerBI and SQL.
Run Pipeline report and distribute.
Learn and utilize Sales Force, following all the standards for entering sales activity and lead generation.
Maintain strong system hygiene by ensuring data accuracy, consistency, and timely updates across all platforms.

Reporting & Documentation

Prepare the End of Month Report that tracks office production for Global Account Directors.
Maintain all definite partnership contracts and contacts for each Global Sales Office / OH&R.
Review and process expense reports and audit invoices for accuracy and ensure timely submittal.

Events & Trade Shows

Support for GSO Regional Trade Shows and Events.
Ability to manage 6-7 Global Account Directors special projects, events, including golf events.
Collaborate with training and events department on Global Sales initiatives.
Create and track client invitations for events, ensuring accurate lists and timely distribution.
Handle event-related communications with clients and internal stakeholders.
Provide on-site support during events, assisting with coordination, logistics, and client engagement.

Travel & Logistics

Coordinate hotel and travel arrangements in Concur.

Qualifications

2-4 years of administrative experience preferred
Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Experience with Salesforce is a plus
Strong preference to those candidates with hotel experience
Strong interpersonal skills and the ability to work in a team-oriented environment
Strong financial and statistical analysis skills
Professional communication skills, including group presentations, both oral and written
