
Job Title
Support Small Group Journey Travel Consultants by handling administrative-related functions in support of higher sales conversions and increased service levels. Coordinate with guests, Travel Advisors, and Destination Management Companies (DMC) regarding any booking-related functions. Responsibilities and Accountabilities Assist Small Group Journey Travel Consultants with the following tasks: Custom extensions, as identified by the Travel Consultant, coordinated with DMC, produce custom extension itineraries. Notify and collect payment for all bookings with balances past due. Call guests/Travel Advisors to collect missing information and itinerary details. Enter all data from Guest Information Forms into the reservation system, including but not limited to passport, medical conditions, and flight information. Verify all flight details are correctly coordinated with land services booked and adjust transfers as needed. Identify gaps in services as a result of flight information received and act accordingly. Review Travel Consultant Quality Check and Insurance Reports and action promptly. Prepare correspondence emails for the Travel Consultant when advised through Product Memos, etc. Coordinate Signature Program Design Your Day follow-up and send advising recaps to DMC. Communicate directly with the guest/Travel Advisor, answering general questions not related to sales/revenue-generated items. Collaborate with all internal departments and DMCs to facilitate the booking process. Assist Guest Relations when post-tour issues require investigation into historical documentation. Special projects or other related duties as required. Skills and Abilities Professional verbal/written communication skills and phone demeanour. Strong multi-tasking skills and flexibility required. Detail-oriented with excellent organizational skills. Good judgment and problem-solving skills Ability to work in a team environment. Intermediate computer skills required (Microsoft Office) and the ability to quickly master new technologies. Must be able to perform basic mathematical computations. Must read/write/speak English.
