Location This position is required to sit on‑site in our downtown Chattanooga office. Applicants must be willing to relocate or commute to this location to be considered.

Role Overview The Legal Assistant will support attorneys and legal professionals within the Real Estate section by performing a variety of administrative and clerical tasks. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Legal Assistant will handle legal documentation, coordinate communications, and assist in case management to ensure smooth operations within the legal department. In addition to document preparation, filing, and scheduling, the legal assistant will perform duties such as coordination of meetings and conferences, managing travel arrangements, managing client relationships, assembling highly confidential and sensitive information, and managing special projects.
The legal assistant will deal with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. The legal assistant will work under moderate supervision with latitude for the use of initiative and independent judgment.
Key Responsibilities
Document Preparation and Management
Proofread, revise and style legal documents, including contracts, real estate loans, acquisition loans and correspondence
Organize and maintain files, ensuring all documents are accurately filed and readily accessible in our document management system (NetDocs)
Create closing e‑binders
Client Communication
Communicate with clients to schedule appointments, gather information, and provide status updates.
Liaise with title companies, borrower's counsel, and other parties involved in legal proceedings to obtain needed documents.
Research and Analysis
Conduct title searches, register of deeds, promissory notes, e‑filing, and legal research on relevant laws, regulations, and precedents as needed.
Administrative Support
Perform general office tasks such as answering phones, managing calendars, and handling correspondence.
Maintain and update client files and databases with accurate and confidential information.
Compliance and Confidentiality
Adhere to legal ethical standards and confidentiality requirements.
Ensure compliance with all applicable legal procedures and regulations.
Qualifications
Minimum of three years of experience as a legal assistant or relevant administrative work in a law office or professional services setting
Bachelor's degree in business management or related field preferred
Advanced knowledge of Microsoft Word, Excel, and PowerPoint with proven ability to understand and use styles required; ability to understand legal procedures and terminology
Experience with legal document management system highly preferred
Ability to solve practical problems and deal with a variety of situations without oversight
Strong organizational, project management and multi‑tasking abilities
Excellent interpersonal skills
Physical Demands
The employee is regularly required to talk or hear.
The employee is frequently required to stand, walk, bend, kneel, stoop, and crouch, using hands and fingers for detailed work.
The employee is occasionally required to lift office products and supplies up to 15 pounds.
