Marketing Services Coordinator, Highland Capital Brokerage

Role Type: Full time
Salary: $50,000 - $55,000 per year + annual bonus
Actual compensation offered will be determined individually, based on a number of job-related factors, including location, skills, licensure, experience, and education.

Summary: The Marketing Services Coordinator keeps the marketing team organized, compliant, and operating efficiently. This hands‑on administrative role is ideal for someone who thrives on process, precision, and follow‑through, while also having a foundational understanding of marketing content and messaging. The coordinator manages a wide range of operational tasks including compliance approvals, invoices, PDF updates, inventory, and the Digital Asset Manager to keep the marketing engine running smoothly behind the scenes.
Education Requirements:
Bachelor’s degree preferred, high school diploma (or equivalent) in combination with significant practical experience will be considered in lieu of degree. Minimum of high school diploma or equivalent is required.
Responsibilities:
Own the compliance approval process for all marketing materials from submission through final approval
Submit requests, track progress, and manage updates based on compliance feedback
Process and track marketing invoices, expenses, and vendor billing
Fulfill and ship marketing materials and swag for events and conferences
Maintain and manage swag and collateral inventory
Update, reformat, and make content edits to marketing PDFs and other materials using Adobe software
Manage content uploads to Digital Asset Manager to ensure all materials are current, accurate, and properly categorized
Upload new assets and retire outdated materials following compliance approval
Maintain metadata, tagging, and folder organization for easy access by internal teams
Support Advisor Marketing initiatives, coordinate emails sends, and schedule advisor consultations
Monitor shared marketing inbox, responding promptly to advisor and internal requests
Serve as the first line of communication for advisor questions about marketing platforms and programs
Basic Requirements:
Strong organizational skills and attention to detail
Dependable team player who collaborates well with others
Comfortable managing multiple priorities and deadlines in a fast‑paced environment
Excellent written and verbal communication skills, including the ability to write, review, and edit content for clarity and accuracy
Preferred Requirements:
Experience with Adobe Acrobat or Creative Cloud for updating and formatting PDFs
2+ years of administrative or marketing coordination experience
Familiarity with compliance review workflows
Exposure to marketing automation or CRM tools
