The Sr. Marketing Operations and Budget Analyst role is responsible for integrating marketing operations and budget management to ensure accuracy, compliance, and efficiency across initiatives. This role supports marketing execution through systems management, master data governance, and operational workflows, while maintaining financial discipline through budget oversight, invoice processing, and reporting. The position collaborates with Finance, Marketing, PMO, Creative, and external vendors to streamline processes and deliver actionable insights.
A Day in the Life Budget Operations
Manage functional budgets and forecasting, coding invoices, maintaining templates and monitoring plan vs. actuals in support of the full Commercial USA org.
Reconcile accruals and variances; update trackers and systems as needed.
Escalate discrepancies and manage funds for accurate & timely budget visibility.
Track all invoices from point of submission to payment, ensuring correct budget assignments; work with accounting (outsourced) and gain knowledge of tools i.e., Readsoft, Ivalua, etc.
Handle P‑Card transactions, including coding, compliance checks, and reporting.
Prepare monthly summaries and quarterly/annual budget updates for leadership.
Develop and present actionable status reports to multiple organizational levels.
Track KPIs for budget accuracy, invoice cycle time, and marketing workflow SLAs.
Marketing Operations
Set up new products, including pallets, cases, and displays; submit inputs through system, enforce naming conventions, and shepherd workflows until completion.
Provide status updates to stakeholders to support project timelines, initiatives, and track IANs; enforce naming conventions.
Coordinate sales samples and coupons, including requirements, billing, timelines, barcode creation, and artwork alignment with brand standards.
Develop & deliver training materials and documentation across the USA Commercial Team on new item setup, clearly defining process scope and exclusions and ensuring comprehension and accuracy.
Onboard users to item setup systems and workflows, ensure alignment with business processes, and provide input to EBX workflow design.
Drive completion of system set up to meet project timelines.
Act as the process champion, represent business teams in design discussions, support training initiatives, and serve as a key advisor to material request initiators—guiding requests through the process from start to finish.
Lead daily check‑ins to ensure completion of tasks in a timely manner.
Required What We Are Looking For
Proficient in MS Office (Excel, PowerPoint, Word).
Experience with systems such as SAP or other ERP, AP tools (e.g., Readsoft, Ivalua), CMS (e.g., Contentful), syndication (e.g., Salsify), and graphics workflow (e.g., WebCenter).
Strong technical aptitude, expertise in budget management and financial tracking, project management, and communication. Excels in fast‑paced, cross‑functional settings with exceptional time‑management and organizational skills.
Highly detail‑oriented, with a focus on accuracy, timelines, and compliance.
Education: Bachelor’s degree in business, marketing, or related field.
Experience: Minimum of 3 years in budgeting or marketing operations; exposure to both disciplines strongly preferred.
Cross‑functional collaboration: partner with Finance, Marketing, PMO, Creative, Package Engineering, Procurement, and external vendors to ensure timely execution and compliance.
Education Bachelor's or University Degree (Required)
