
Overview
The Marketing Operations Specialist owns the execution and coordination of marketing and creative workflows in close partnership with marketing leadership, ensuring campaigns are delivered on time, on scope, and aligned to approved objectives. This role owns the project management of all marketing campaigns across channels, ensuring projects move efficiently through all phases, timeline are met, resources are aligned, budgets are managed, and objectives are achieved. They serve as a central point of coordination for campaign planning, execution, and optimization while improving processes, tools and ways of working.
Responsibilities Campaign & Project Management
Successfully project manage and execute the end-to-end marketing and creative process across all phases, leading multiple projects, deliverables, milestones, and schedules simultaneously.
Independently manages end-to-end project execution for multiple concurrent marketing and creative initiatives, coordinating inputs, timelines, and dependencies across teams.
Open all projects and load briefs into Jira (or other project software), ensuring accurate setup, timelines, and ownership.
Ensure timely release of final creative assets to channel leads and own campaign go-live tracking and reporting.
Initiate hindsight audits in partnership with channel leads; manage documentation and insights to inform optimization
Process, Workflow & Calendar Ownership
Own and maintain the seasonal and annual marketing process calendars, marketing plan and messaging calendars, ensuring milestones are clearly defined and updated for clarity and alignment with all necessary partners.
Develop and maintain an overarching, integrated project calendar outlining key initiatives across workflows and serving as a centralized view of priorities.
Regularly review calendars with channel leads to identify conflicts, risks, dependencies, and opportunities.
Continuously evolve and improve campaign planning, timelines, visualization tools, and workflow processes.
Meetings, Communication & Documentation
Proactively organize, schedule, and manage all project and creative meetings, including pre-meetings, presentations, weekly creative reviews, and milestone meetings.
Create agendas, prepare planning materials, capture notes, distribute recaps, and clearly define next steps to keep projects moving forward.
Attend Marketing Leadership Team and Marketing Department Leads meetings to support successful execution, alignment to goals, and proactive solutioning of potential bottlenecks.
Communicate clearly and consistently with channel marketing and creative to manage expectations and ensure successful asset delivery.
Ensure through and accurate project documentation is maintained for every initiative.
Creative Resource & Tool Management
Responsible for day-to-day management of the project management system (Jira or similar) including accurate project setup, workflow management, and regular audits.
Coordinates project assignments with creative leadership and supports visibility into workloads and timelines.
Proactively identify risks, dependencies, and bottlenecks, elevating issues and driving solutions to keep projects on track.
Budget & Financial Management
Support the annual marketing budget planning process in partnership with budget owners.
Own the successful management of the marketing budget template and track budget performance monthly, working to keep budget up to date and accurate as well as keeping marketing leadership informed of progress, risks, and reallocation needs.
Serve as the primary marketing point of contact for Accounting by attending monthly budget review meetings, addressing questions, and coordinating follow-ups with budget owners.
Partnership & Leadership Support
Build strong, effective relationships across marketing, creative, and business teams.
Support marketing leadership by proactively identifying process gaps, workload challenges, and opportunities for improvement.
Use independent decision making, analysis, and creative problem solving to resolve issues and maintain momentum across initiatives.
Qualifications
Bachelor’s degree in Marketing, Communications, Business, or related field.
4+ years of successful project management experience within marketing, creative, or cross-functional environments.
Proven experience supporting and executing a variety of marketing and creative campaigns from inception through completion across multiple channels.
Solid working knowledge of the creative process, including developing and managing creative briefs, work flows and setting realistic timelines and turnaround expectations.
Proficient in Microsoft Office Suite (Excel, PowerPoint, Work, Outlook).
Experience using project management tools, Jira preferred.
Familiarity with digital asset management systems, OpenText Media Manager preferred.
Working knowledge of Adobe Creative Suite tools (Photoshop, InDesign, Illustrator) to effectively collaborate with creative partners.
Strong oral and written communication skills with the ability to clearly convey information, drive alignment, and confidently interact with cross-functional partners and senior stakeholders.
Demonstrated ability to build effective working relationships and collaborate across teams.
Highly adaptable and comfortable with adjusting quickly to changing priorities and evolving business needs.

Base Pay range for this role is $71,500 - $88,500 annually. Your placement in the range is determined through interviews, a review of experience, knowledge, skills, balanced pay with other team members and alignment with geographic market data. Home office base pay ranges are based on the Denver market.We target most new hire offers toward the lower end of the listed range, but more demonstrated experience, knowledge and skills may result in a higher starting rate.
Beyond Base Pay Home office positions are eligible for consideration for an annual bonus, based on total company performance.Amounts vary by role and are based on a percentage of eligible earnings for the fiscal year.
