
Event & Communications Specialist

BLD Connection is seeking a highly organized, detail-driven Event & Communications Specialist to support the planning, administration, and execution of Association events and communications initiatives.
This role plays a critical operational part in ensuring our outings, conferences, BizCons, and member programs are executed with accuracy, professionalism, and strong financial and data oversight.
Approximately 70% of this role supports the Events Department and 30% supports Communications.
This is a highly administrative, process-oriented position ideal for someone who thrives in structured, deadline-driven environments.
Work Schedule
This position is hybrid. During onboarding (at least 90 days), the role will work onsite in Plymouth, MN Monday–Thursday and remotely on Fridays. After demonstrated proficiency, a three-day in-office schedule may be considered. Additional in-office time is required leading up to and following events. Travel is typically once per month for 2–5 days depending on event schedule. Key Responsibilities
Event Operations & Administration (35%)
Coordinate and manage logistics for assigned outings and events Assist with event budgets, contract coordination, and invoice reconciliation Manage event registration systems (GrowthZone/AMS), including setup, tracking, and reporting Track sponsorships and ensure fulfillment of sponsor deliverables Submit final attendance guarantees and coordinate vendor communications Prepare badges, signage, printed materials, and event supplies Lead event packing/unpacking and inventory management Serve as Registration Manager onsite at select events Conference & Convention Support (35%)
Support registration management for exhibitors, dealers, and attendees, including badge creation & management Track payments and collaborate with Finance on invoicing and reconciliation Prepare seminar materials, speaker packets, and event documentation Manage all material prep and packing/unpacking for all events. Compile post-event evaluations and summary reports Communications & Marketing Support (30%)
Assist with development of event marketing materials and emails using Adobe In-Design & Association Management Software Support social media posting and engagement Proofread newsletters, brochures, and promotional materials Assist with website updates and directory production Required Qualifications
Experience in event coordination, event administration, or operations support Strong administrative skills including budget tracking, data entry, event contract and BEO review, and invoice review Experience managing registration systems or CRM/AMS platforms preferred High attention to detail and strong proofreading skills Proficiency in Microsoft Office & Adobe InDesign required Ability to manage multiple projects and deadlines simultaneously Strong communication and organizational skills Our Ideal Candidate
