Job Duties and Responsibilities
Core Responsibilities
Lead Management & Sales Conversion
Manage a high volume of incoming catering inquiries and actively solicit new business
Qualify leads and strategically position the resort to maximize revenue potential
Prepare timely, accurate, and compelling proposals and contracts
Negotiate food & beverage minimums, space rental, and concessions in alignment with profitability goals
Partner with Revenue Management and Sales to evaluate total account value (rooms + F&B + ancillary revenue)
Conduct site tours and client meetings; represent the resort professionally and persuasively
Maintain strong follow‑up practices to convert opportunities into booked business
Deliver a winsome, responsive, and service‑oriented client experience that drives repeat business and referrals
Event Planning & Client Service (Book & Cook Ownership)
Fully service all booked catering events from contract through execution and billing
Serve as the primary client contact before, during, and after events
Create accurate Banquet Event Orders (BEOs) and communicate all changes clearly across departments
Coordinate event details including timelines, menus, room setups, audio visual, and special requests
Attend and oversee events as needed to ensure successful execution
Resolve client concerns promptly and professionally
Conduct post‑event follow‑up and secure repeat business
Revenue Optimization & Profitability
Evaluate each event for total profitability, including room night contribution
Strategically balance concessions vs. overall hotel revenue opportunity
Collaborate with Revenue Management to maximize space utilization and pricing strategy
Review contracted services to ensure proper contribution to profit
Participate in forecasting, pacing, and performance discussions
Support share growth through smart negotiation and account development
Operational Partnership & Collaboration
Act as liaison between clients, hotel sales, restaurant operations, and culinary teams
Navigate competing priorities between guest expectations and operational efficiency
Work closely with F&B leadership to align menus, labor impact, and execution feasibility
Support cross‑department communication to ensure seamless event execution
Maintain strong working relationships across all hotel departments
Participate in weekly sales and operational meetings
Market Awareness & Business Development
Build and maintain relationships with local clientele, planners, and community partners
Monitor market trends, competitor offerings, and pricing strategies
Participate in industry organizations and networking opportunities
Support promotional initiatives and catering marketing efforts
EDUCATION AND EXPERIENCE
Minimum of High School education, post‑high school education preferred
3–7+ years catering or event sales experience in a hotel, resort, or upscale venue
Demonstrated experience negotiating and servicing events
Proven ability to manage multiple events simultaneously
Experience collaborating with culinary and operational teams preferred
Knowledge of Delphi, Tripleseat, or similar sales/catering systems preferred
KNOWLEDGE, SKILLS AND ABILITIES
Strong sales closing ability and persuasive communication
High attention to detail and organizational skills
Ability to balance guest satisfaction with profitability
Conflict resolution and negotiation skills
Ability to thrive in a fast‑paced, high‑volume environment
Professional written and verbal communication
Relationship‑driven service mindset
Adaptability and problem‑solving under pressure
Must have flexible work hours that may include evenings, weekends, and holidays
