The HOA Portfolio Manager is responsible for the day‑to‑day management of a portfolio of homeowners associations (HOAs), including condominiums, townhomes, and planned communities. This role serves as the primary point of contact for HOA Boards, ensuring effective communication, financial oversight, vendor management, and compliance with governing documents and state regulations. The ideal candidate is organized, responsive, and skilled at balancing multiple communities while maintaining strong relationships with board members, homeowners, and vendors.

Key Responsibilities Community & Board Management

Serve as the primary liaison between the HOA Board of Directors, homeowners, and the management company. Attend board meetings and annual meetings (evenings as required); prepare agendas, meeting packets, and minutes. Provide guidance to boards on governing documents, policies, and best practices. Respond to homeowner inquiries and concerns in a professional and timely manner.

Financial Oversight

Assist with preparation and monitoring of annual budgets. Review and approve invoices; ensure accurate coding and timely payments. Monitor accounts receivable, delinquencies, and coordinate with collections as needed. Work with accounting teams on monthly financial reports and reserve studies.

Vendor & Maintenance Management

Solicit bids, negotiate contracts, and oversee vendors (landscaping, maintenance, janitorial, security, etc.). Conduct regular property inspections to ensure community standards are met. Coordinate routine maintenance, capital projects, and emergency repairs. Ensure vendors meet insurance and contractual requirements.

Compliance & Administration

Ensure compliance with governing documents, policies, and applicable state/local laws. Enforce community rules and architectural guidelines consistently and fairly. Maintain accurate community records, contracts, and correspondence. Support architectural review processes and violation enforcement.

Required Skills and Experience

3-5 years of experience managing HOA/Account Management

CMCA Certification

Proactive, highly organized, motivated
