Position Overview We are seeking a Virtual Estimator & Construction Administrative Specialist to support both preconstruction estimating and core administrative / bookkeeping functions. This role is ideal for someone with residential construction experience who enjoys organizing information, managing numbers, and assembling clean, accurate budgets for leadership review.
This is a remote position with consistent weekly hours and long-term growth potential.
Key Responsibilities Estimating & Preconstruction Support
Perform quantity takeoffs from construction drawings and specifications
Assemble detailed project budgets for review by the Project Manager and leadership team
Solicit, track, and organize subcontractor bids
Level subcontractor proposals to ensure scope completeness and accurate comparisons
Maintain historical cost data and assist with budget updates as pricing changes
Support subcontractor estimating management and bid coordination
Administrative & Financial Support
Prepare and send client invoices as directed
Assist with accounts payable and accounts receivable tracking
Maintain updated records of office and project-related expenses
Track Certificates of Insurance (COIs) and ensure compliance
Maintain and organize executed Master Subcontractor Agreements
Support documentation and file management related to projects and vendors
General Office & Process Support
Maintain organized digital filing systems
Assist with process documentation and standardization
Communicate professionally with subcontractors, vendors, and internal team members
Support leadership with reporting and data organization as needed
Qualifications & Experience
2+ years of experience in residential construction estimating, construction administration, or a related role
Strong ability to read and interpret construction drawings and specifications
Experience performing takeoffs and assembling construction budgets
Familiarity with subcontractor bid coordination and scope review
Comfortable with bookkeeping tasks such as invoicing and expense tracking
Proficient in Excel / Google Sheets; experience with construction software a plus
Highly organized, detail-oriented, and deadline-driven
Strong written communication skills
Self-motivated and comfortable working remotely with minimal supervision
Preferred (But Not Required)
Experience with Buildertrend, JobTread, CoConstruct, or similar construction management software
Familiarity with high-end residential construction or custom homes
Prior experience working with a U.S.-based general contractor or home builder
Must be fluent in English (reading, writing, and speaking)
Compensation & Work Structure
$8.00 - $12.00 USD per hour compensation based on experience
