POSITION SUMMARY The Placement Specialist is responsible for converting girl and adult leads into active members through timely follow‑up, placement, and engagement. This role manages the full lead conversion process for assigned areas, meets established conversion goals, and supports broader recruitment efforts including event participation in collaboration with Community Engagement Specialists and the Customer Experience Services (CES) team.

ESSENTIAL FUNCTIONS Other duties may be assigned as needed by Girl Scouts of Western New York (GSWNY).

Manage and track all membership leads in Salesforce through the full conversion process

Meet or exceed council‑established lead conversion goals for girl and adult members in assigned areas

Conduct proactive follow‑up with prospective members via phone, email, text message, and other outreach methods

Process manual registrations as needed

Coordinate placement of girls into appropriate troops or participation pathways

Coordinate placement of adult members into appropriate volunteer roles, providing clear communication throughout the process

Oversee the Participation Catalog in assigned areas, collaborating with Community Engagement Specialists to ensure availability of recruitment opportunities

Monitor and analyze reports related to conversion rates, time‑to‑close, and quality of member experience

Support council‑wide recruitment initiatives, events, and cross‑functional efforts

Assist with customer care call volume as needed

EXPERIENCE & QUALIFICATIONS

Strong interpersonal and customer service skills, particularly by phone and email

Highly organized and task‑oriented with strong follow‑through

Self‑motivated with the ability to manage responsibilities independently

Experience in recruitment, sales, customer engagement, or lead conversion preferred

Ability to confidently communicate the Girl Scout mission and value proposition

Proficient with Microsoft Office (Word, Excel, Outlook) and CRM systems such as Salesforce

Ability to learn and effectively use Salesforce and related tools

Passion for the Girl Scout mission and commitment to GSWNY Operational Core Values

Ability to handle sensitive information and maintain confidentiality;

Strong analytical skills and problem‑solving abilities;

Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, etc.);

Ability to project a high level of professionalism at all times;

Capacity to network effectively and positively represent GSWNY in the public arena;

Ability to articulate organizational mission and its importance with passion and conviction, and in a manner that resonates with the listener;

Commitment to diversity and ability to interact with diverse populations;

Strong time management skills with ability to work independently and effectively prioritize duties and tasks in order to successfully meet and manage multiple deadlines;

Capacity to manage stress effectively and work well under pressure;

Excellent oral and written communication skills and the ability to communicate clearly;

Proven capability to work in a collaborative, service‑focused environment;

Capacity to work well with others in a congenial and effective manner;

Ability to effectively manage and foster relationships with council staff, volunteers and within community;

Subscribe to the principles of the Girl Scout Movement and become a registered member of GSUSA;

Successfully pass the required background checks at hire and thereafter;

Maintain reliable transportation to and from home and work;

Ability to meet the travel requirements of the position to conduct Council business;

If travel is required, must possess a valid driver’s license, meet minimum state auto insurance requirements, and meet the insurance carrier’s requirements for coverage.

HOURS & TRAVEL REQUIREMENTS

10% travel required; must have reliable access to a vehicle

Evening and weekend work is expected

GIRL SCOUT MEMBERSHIP REQUIREMENT All employees of Girl Scouts of Western New York are required to maintain an active annual membership. New hires must enroll within 30 days of employment, and membership must be renewed annually.
